St. Timothy Pastoral Council Minutes

September 4, 2007

 

Present:  Fr. Rick Bolte, Fr. Jacob, Dave Shefchik, Jim Sholar, Jerry Beatrice, Mark Dornoff, Marin Smith, Al Kovacic, Rick Harvey, Steve Lemberg, and Randy Herbert.  

Absent:  John Gould.

 

1.After Steve Lemberg offered the opening prayer, three amendments to the August minutes were approved.  First, in paragraph 1A, net excess reported for FY2007 was in error, and should be $81,950.  In paragraph 4, Jim Sholar was reported in charge of the ad hoc committee for welcoming and regions.  It should read Steve Lemberg.  And in paragraph 7A, “lining up” should read “expressing interest“.

 

 2.Pillar Reports

          A.  Al Kovacic gave the Worship Committee report (see attached).  Katie Barton attended her first meeting as a member, and is calling for volunteers for the choir.  Practices will begin this month, and Katie is hoping to have approximately 40 members.  The issues of requesting cell phones to be turned off before Mass, and the location of donation drops for City Heights were addressed, but no conclusions were reached.

          B.  Jim Sholar reported for the Outreach Committee (see attached).  A guest attended the meeting to request volunteer assistance with the Foster Children’s Christmas Party, and true to form, help was offered.  The yard sale was a great success, with 55 tables rented, and $2400 netted for donation to St. Charles.  Care Net is the grant recipient for September.

          C.  Marin Smith reported that the PSR schedule for the year has been set (see attached).  The program is at or near capacity for grades 1 through 8 with the space we have available.  Adult Faith Formation events include a Come Saturday Morning retreat scheduled for October 6.

          D.  There was no Community report for September, but Oktoberfest still needs volunteers.

          E.  There was no Finance Committee report for September.

 

3.Steve Lemberg reported that 11 new families attended the welcoming reception for August.

 

4. At Dave Shefchik’s request, Fr. Bolte gave a quick review of past research about size, cost, and zoning requirements for a permanent sign on the church property.  Additional information is available from the past and current business managers.  The goal is to have specific proposals for a sign and a cross by April of 2008, in order to be ready for the DPAA campaign.

 

5. Mark Dornoff passed around some sketches that Wendy Fleury had done of ideas for the stained glass windows.  The committee met with representatives of Cathedral Crafts on Sunday, September 8, to discuss possibilities and limitations.  Mark believes that the windows can be installed by next Easter.

 

6.In a shift in the agenda, Jerry Beatrice gave the bingo update next.  He met again with the St. Henry’s bingo guru, and had some figures concerning profit and volunteers.  The profit was impressive, but so was the number of volunteers required for each session.  Finding the people required is always a problem.  The committee is pursuing ideas for soliciting them, as well as when and where the space would be available.

 

7.Pastor’s Report.

          A. The diocese is forming a committee made up of members from the parishes in Boone County to study the growth of the county and its effects on those parishes.  The committee will make recommendations to the bishop concerning new parishes and schools to accommodate present and future growth.  Steve Lemberg and Joe Meiman have volunteered to represent St. Tim’s.

          B. The diocese is also forming a Deanery Pastoral Council to present the concerns of the people of the diocese to the bishop.  Meetings will be quarterly, and member terms will be two years.  There will be a workshop on October 6th, and Mark Dornoff has volunteered to attend.

          C. The results of the All Parish Planning Day have been compiled, and the heads of the various Pillars are looking at them to see what falls into their areas of interest.  They will assess what can be done short term, and what will have to wait.  Of the 52 items that were on the idea list, renovation of the kitchen in Brodnick Hall, and construction of a multi-purpose building on the grounds were the two that received the most attention.  Fr. Bolte has formed a needs-assessment committee consisting of Marin Smith, Rick Harvey, and Al Kovacic, to determine actual space requirements and kitchen use.  Once the assessment is complete, a second committee consisting of parishioners familiar with the construction industry will be convened to determine the most cost-effective way to meet those needs. 

          D. The subject of a parish school once again made the planning day list, with people both for and against the idea.  Fr. Bolte reiterated that the pre-school will point the way for the future.  If the pre-school is unsuccessful, there will obviously be no support for an elementary school.  If it is successful, those parents will still have to be canvassed to determine whether or not they would send their children here, and if the parish would financially support an elementary school.

 

8. The next PC meeting will be October 2.  Dave Shefchik volunteered to offer the opening prayer, and Mark Dornoff the closing prayer.

 

9. Jim Sholar offered the closing prayer, and the meeting was adjourned.

PILLAR REPORTS

 

 

WORSHIP
Worship Committee Meeting Minutes-August 15, 2007
 
Present:  Fr. Jacob, Deacon Mike Keller, Stephanie Schenk, Becky Herbert, Kelly Stuckenschneider, Larry & Pat Lense, Dolly Holzwarth, Helen Baltz, Madeline Bond, Katie Barton and Michelle Alley
 
Dolly started the meeting at 8:10 pm with a prayer
 
Stained Glass Windows
- Committee is formed to oversee this process.
- The company has been chosen to do the design and the installation
- Fr. Bolte would like a choice of designs to present to the parishioners (like he did with the crucifix) but we’re not sure what the process will be.
 
Parish Council
- Our new representative on Parish Council is Al Kovacic.
- Parish Council now meets on the first Tuesday of the month so we will be better able to get the minutes ready for the meeting.
 
New Music Minister
- We were all introduced to Katie Barton who is our new Music Minister.
- Dale was supposed to get us some Liturgical Magazines for us to use for new ideas.  Katie said she would check into this.
 
Chairs from Brodnick Hall
- Last time we discussed the problem of chairs being brought up from Brodnick Hall for overcrowded Masses (Easter / Christmas) At Easter Vigil this year the chairs were all locked in the Youth room which worked except that John Vogelpohl had to re-set Brodnick Hall by himself on Monday after Easter.
- We need a better solution or get some volunteers to help John put the chairs back afterward
 
Sound Equipment
We had a funeral here recently where Fr. Bolte nor Katie were present to oversee the use of the mics etc. We need a policy or procedure in place for use of the sound system and heating and a/c. We need to discuss this further with Fr. Bolte.
 
Worship Meetings
          Is it necessary to meet every month? It is necessary to meet far enough in advance of special liturgies. We could skip the September meeting and will meet again on: Oct 17, Nov 14, Dec 12, Jan 16 and Feb 20. The November and December dates are earlier in the month due to holidays. We will discuss Lent on December 12 as Ash Wednesday is February 6.
 
Palms for Lent
- We need to order more palms this year for Palm Sunday.
 
Input from other Committees
-  Do we need input from other committees that pertain to Worship/Liturgies?
   For example: Bereavement and Adoration.
-  We could send out a letter to the other committees with a contact for them if they have any questions or ideas for the Worship Committee.
-  Right now they just tell Michelle or Fr. Bolte
 
Cell Phones in Church
- Is there a way to tell people before Mass to turn off their cell phones?
- Who would make the announcement and how often would it need to be made? Every weekend, monthly?
 
Donations for Gallatin CAC and City Heights
- Lesley says the donations are down since we moved the collection site down the hallway near the bathrooms. No one sees them so they forget to bring their donations in.
- It is very messy to have bags all over the Gathering Space however.
- What about a sign or messages in the bulletin directing where the donations should be placed?
- Kelly suggested a rolling cart with doors and a counter top to replace the folding tables in the Gathering Space. The donations could be stored in the cabinet with the doors open before Mass to remind people to bring in their donations, but could be rolled out of sight when not needed. Kelly will talk to Fr. Bolte about this.
 
Choir
- Funeral Choir cannot continue with daytime practices because Katie teaches.
- Parish Choir will start practicing in the next week or two.
- Ensemble Choir is all ready meeting on Sunday mornings.
- Katie would like to see growth in all the choirs. She is hoping for around 40 in the Parish Choir. And more youth and high school involvement in the Children’s Choir
 
Stephanie stated that there was no mention of the Holy Day (Assumption) at the 4:30 Mass on Saturday but it was mentioned at the Sunday Masses.
 
Michelle will put an ad in the bulletin asking for anyone interested in being a Eucharistic Minister, Mass Assistant or Usher to call the parish office. If we get any interest the Lenses will conduct another training session before the Oct. Nov. & Dec schedules go out in September.

FORMATION

Youth Formation:
Terrific Two’s and Sunday Preschool classes for both 9:30 and 11:30 Sunday have filled and the maximum number of students per class was extended from 15 to 20 in order to accommodate the demand for SPS. This is the 1st year in which we have had to cap the classes for the 3 to 5 year olds. It was necessitated by having opened a Sunday section of PSR grades 1 through 8 due to space limitations on Mondays and Wednesdays. The new shortage of classrooms were available to SPS meant that the extension to 20 per class was the best solution available. Each classroom will have a teacher and an aide, with an additional parent helper for at least the first 2 weeks. After that time, the number situation will be re-evaluated, based on how many 3 to 5 year olds actually show up each week. In this age group, it is rare for all the registered students to be present in any given week. Should the need to expand to another classroom be determined, room 7 could possibly be utilized, though it would have to be outfitted with age/size appropriate furnishings/materials.

 

Sunday classes for grades 1-8 have been very popular, filling up quickly. Dates of registration as noted on forms will be used as the final determination regarding who will ultimately be registered for these classes. That determination will be made this week, as the deadline for registration has passed. Registration is still possible, but a late fee will be incurred.

 

St. Timothy Youth Ministry has been growing once again. Following a downturn in numbers over the summer months, attendance has again picked up. The official kick-off for the year is this coming week.

 

Notice of Catechist Formation requirements has been received and disseminated to our Catechists. At least 2 Catechists will be taking these classes, with St. Timothy picking up the cost. A plan is in the works to present the required classes for Basic Certification here at St. Timothy, beginning the 3 year process in 2008-2009.

Adult Formation
There is a Tapping into Theology with Dr. Brennan Hill on Monday, September 10. His topic will be a Spiritual Master topic featuring Gandhi. Dr. Hill will present a 2nd Spiritual Master topic on September 24 featuring Mother Teresa.

Father Bolte will present a 2nd Tapping into Theology on the Book of
Revelation. The date is October 8.

An Advent “Stations of the Crib” type event is in the planning stages for December.

OUTREACH

Outreach Committee Meeting Minutes- August 9, 2007,  7pm

 

Attendance:

Paul Barth, Vicki Degenhardt Lesley Duggan, Sue & Mark Helmer  Richard & Rosalie Hentz, Mike Keller, Marta Kroger, Lois Lambers, Crystal Pohlman, & Sharon Ryan

 

Mike opened the meeting with prayer & introduced Vicki Degenhardt who spoke to us about the Foster Children’s Christmas Party.  The party has been held at St. Timothy’s for several years & is scheduled after Breakfast with Santa on December 1, 2007.  There are approximately 250-300 people who attend the party.  Each of the 200 Foster Children receives a gift from Santa.  In the past Vicki & three other ladies did all the cooking, wrapping of gifts, organizing, preparing of crafts for the children, taking pictures, & anything else connected with the party.   Vicki requested that outreach help them in some manner.  Discussion followed.

  • Lesley suggested outreach could assist with the taking of pictures.
  • Possibly 15 youth could provide assistance with crafts.  Adult supervision would also be needed,
  • Crystal would assist with providing a sheet cake & Rosalie would assist with cupcakes, brownies, etc

Other needs are:

  • Assist with food shopping, preparing & serving the holiday type meal.
  • Assist with the purchase of gifts & their wrapping,
  • Financial assistance.   

 

 

Old business from meeting of July 2007:

  1. IHN @ Florence Freedom Baseball Game.
    1. As of now, there will be 5 participants from IHN
    2. A transportation person is still needed. – pick up van, pick up participants & take them to the game.  Return participant & return the van.
    3. Lesley gave outreach committee the opportunity to have dinner with the IHN guests.  Members will check calendars & let her know if they can participate.

 

  1. Yard Sale update
    1. Lois reported yard sale was a huge success.
    2. 55 tables were rented. 
    3. Volunteers were thanked.
    4. St. Vincent de Paul’s truck had to make 2 trips to collect all the left items.
    5. $2400 was cleared & will be donated.
    6. The American Legion donated $200 after reading the article in the newspaper.
  2. Outreach Shirts
    1. This will be the last weekend shirts can be ordered. 
    2. Marta, Crystal, Lois & Vicki volunteered to take orders after the Masses this weekend.

 

  1. Hosea House
    1. September 16th is outreach month for Hosea House.
    2. Lesley had a very successful sign up of volunteers who would bring in food items for the August meal .Response could be due to talk she gave after Masses..

 

New business covered:

1.      Care Net Pregnancy Center

Sharon Ryan is project coordinator for Care Net.

Care Net offers classes on health during pregnancy.  Also has other outreach programs.

2.      Article In Enquirer

St. Tim’s Outreach Ministry will be focused in the Enquirer

Lesley also contacted by another paper who also wants to spotlight Outreach.

          3.      Parish Planning Day is August 25th.

4.      Angel Food Ministry-Crystal spoke about the organization.

Non-profit organization that provides food that a recipient purchases at a reduced rate.There are prepared menus & patrons may choose what they would like to purchase. Ky delivery would be twice a month to a local host church.Host church responsible for collecting money, sending in orders, & distribution. $50 start up fee.  Food stamps accepted.  No qualifiers to purchase. Not sure if St. Tim parishioners would use it.Crystal will check with other hosts to see if St. Tim’s could use their set up.

 

Adjournment----The next Outreach meeting will be on Thursday, September 13th at 7pm in the Parish Center.
