St. Timothy Pastoral Council Meeting Minutes
November 5, 2008

Present:  Fr. Rick Bolte, Fr. Jacob Varghese, Jim Sholar, Jerry Beatrice, Kathleen Thompson, Al Kovacic, Rick Harvey, Steve Lemberg, Jim Lockhart, Randy Herbert.

Absent:  Dave Shefchik, Karen Riegler.

  1. Kathleen Thompson offered the opening prayer, and the October minutes were approved. 

  2. Pillar Reports

  1. Jim Lockhart reviewed the September Finance Council meeting highlights.  We are still ahead of the budget for this year, and as of the end of September, 92% of the Offertory Program pledges have been received.  The FC has retained Key Bank for two accounts, but changed from Fifth/Third to Victory Community Bank for three others.  The move is expected add about $10,000 per year to the finances of the church through increased interest and decreased expenses.

  2. Al Kovacic presented the Worship Committee minutes (see attached).  The parish mission is scheduled for next March, with Fr. Carl Aricco presenting.  The children’s choir is a great success with 35 members.  They sang at Mass for the first time on November 9 at 11:30.

  3. Jim Sholar presented the Outreach Committee minutes from the October meeting (see attached).  Contributions for the Alternative Christmas were down last year, and are expected to be lower this year also.  City Heights and Gallatin County will not be invited to participate this year, since both are supported on a monthly basis already.  The baby shower was held on October 23, and was a great success.  Once again, St. Tim’s has shown tremendous generosity.

  4. Rick Harvey gave the Community report (see attached).  The Oktoberfest figures are not final yet, but the net appears to be around $70,000.  That puts it very close to last year’s final results.  Holiday Shop night has 25 vendors confirmed so far.  

  5. Kathleen Thompson gave the Faith Formation report. The scripture study “Journey into the Bible” has been a success with 32 attendees at the first meeting.

  6. Fr. Jacob gave the report for the youth group. The STYM had a lock-in on November 7th and, apparently, nobody slept.  The youth also went trick-or-treating for canned goods over Halloween, and more that 500 were collected.  Charlotte is planning girls only and boys only prayer events for the future. 

  1. Steve Lemberg, after giving us some positive news about Peggy, reported that the parish had 11 new families register this month, and 17 last month.  Some of the new families have lived in our area for a while, but spent some time “shopping” for a parish before settling in at St. Timothy. 

  2. Dave Shefchik was absent, so there was no report on progress with the new sign.  However, there does seem to be a lot of digging going on in the area of the old sign.  So now that the diggers have done their job, we’re waiting for the fillers. 

  3. Pastor’s Report.

  1. Fr. Rick asked the PC if we wished to let our $50,000 pledge to Thomas More College be used for general funds, or to restrict its use.  The motion was made and passed to restrict the funds to tuition assistance.

  2. Father is getting bids for roof repair for both the church, and the rectory.

  3. The carpets in the rectory need to be replaced.  Father’s plan is to remove them, and put area carpets over the hardwood floors.

  4. The Living Nativity is coming to St. Timothy for the first time.  Anyone who wishes to volunteer should inquire at the parish office.

  5. The next meeting of the construction committee will be in January.  At past meetings, numerous possibilities have been considered, including building a new church, expanding the present one, or construction of a separate building with classrooms and a “cafetorium”.  We didn’t know what that was either, so Father explained it’s a cafeteria with a stage, making it usable as an auditorium as well.  No conclusions have been reached yet.

  6. The Diocese is planning to do a census of all the parishes.  No date has been set, but it should take place within the next year.

  7. The new server is in place and running well.  The office also acquired a new copier.

  8. The Offertory Program begins its second year this month.  So far, the program has been a success, with a 16% increase in donations, half of which goes to the diocese.

  9. Planning work for the kindergarten continues at a hectic pace, with registration planned for January.  Tuition schedules and curriculum are being coordinated with St. Paul’s to make it all one school, as much as possible.  The goal is to encourage an increase in participation in Catholic education. 

  1. Jerry Beatrice completed his review of the PC by-laws, and presented some recommended changes.  All were approved by the members.               

  2. The next PC meeting will be December 3rd.   Steve Lemberg volunteered to offer the opening prayer, and Jim Sholar the closing prayer. 

  3. Al Kovacic offered the closing prayer, and the meeting was adjourned.

Worship Report

Worship Committee Minutes: October 15, 2008

Present: Fr. Bolte, Fr. Jacob, Mike Keller, Kelly Stuckenschneider, Katie Barton, Dolly Holzwarth, Madeline Bond, Mary Ann Kordenbrock, Charlene Cahill, Michelle Alley

Madeline Bond started with a prayer at 7pm.

Old Business

  • Journey to the Bible Study – 32 people attended the first night.
  • Oct. 18: Anointing of the sick will be after each Mass.
  • Nov. 1: All Souls Candlelight service after Communion at 4:30 Mass.
  • Nov. 23: Christ the King
  • Nov. 27: Thanksgiving Mass at 10am
  • Nov. 28: Covers will be transferred to the new hymnals after Scripture Study.
     

New Business:

  • Can we switch our meeting night to the 2nd Wednesday? All agreed
  • Fr. Carl Aricco is presenting the Mission in March, not Fr.Cedric as was previously stated.
  • Advent Penance Service will be Tuesday, Dec. 9 at 7pm. No Mass that evening.
  • Music
    We’ll be singing the Penitential Rite during Advent.
    Katie would consider doing individual singing lessons again next summer.
    What about a Mass with no singing? Some people feel uncomfortable with singing the responses, because they are embarrassed to sing they feel like spectators instead of participants. Most felt that singing plays an important role in Mass and it would be difficult to have different kinds of Masses each weekend.
    There will be music for the lighting of the 1st Advent candle, the 1st week only, after the processional.
    The children’s choir (35 children) will sing at the following Masses:
    Nov 9 - 11:30am
    Dec 14 - 9:30am
    Dec 25 - 11:30am
  • Advent
    In the past we have had a bulletin insert for Advent with ideas for things to do at home. We will do this again this year.
    Will we do anything with the O Antiphons? Michelle will check the old minutes to see if we did anything special with them in the past.
  • Christmas Mass Schedule:
       Christmas Eve: 4:30 & 6:30, plus "Midnight Mass".
       Christmas Day: 9:30 & 11:30
    The past several years we have had a 10pm Mass on Christmas Eve. Father would like to put out a questionnaire to see if parishioners would prefer the 10pm or a midnight mass. They could vote on the website.

Outreach Ministry Meeting Minutes: October 16, 2008

Attendance: Carol Harvey, Korri Iracondo, Lois Lambers, Mark & Sue Helmer, Bob Holzwarth, John Benton, Barb Fowler, Lesley Duggan

Meeting was opened with prayer by Lesley.
September minutes were approved by all in attendance with no corrections.

Current Business

November grant project: I Have Wings– Snack size zip lock bags will be used for the costume jewelry donations (men’s and ladies). A label will be on it for those wanting a tax deduction receipt. Bags will be available after all Masses Nov. 1-2 when Janet addresses the parish. Also a volunteer sign-up sheet will be available for those who are willing to donate their time to do something for a woman diagnosed with breast cancer i.e. light shopping, carpooling kids, cook a meal, trip to the doctor, free haircut, or other services. A prayer card in each bag that can be personalized will be discussed with Janet as another possibility. Lois, Korri, Barb and Carol offered to label the donation bags.

Baby Shower – Crystal was not in attendance for a report. Members could call to see if any help was needed.

  • Christmas Giving Trees:
    Lesley will get the adopted families’ information from Faye in Gallatin Co., on Nov. 17 when the Thanksgiving delivery is made. Because Thanksgiving is late this year, we will lose a week for our collection. The following dates were shared for volunteer opportunities:

Nov. 20: Christmas Giving Tree tag making party -7pm.

Nov. 29-30 & Dec. 6-7: Tag distribution before and after all Masses.
Dec. 6-7: Collection Weekend – HELP NEEDED MOVING DONATIONS TO THE YOUTH ROOM;–

Dec. 10: Collection deadline

Dec. 11: 6:00pm – Donation Sorting/Outreach Christmas Party – regular meeting night

Dec. 15: Delivery to Gallatin Co. after 8am. Mass

Reports

  • Pharmacy grant project – 23 volunteers helped with the assembly of nearly 1,900 of the pharmacy’s Grand event invitations. Work began around 9:15 and ended just before noon on Sat., Sept. 27th. Lots of new faces and “getting to know each other” stories were shared. A handful of youth also helped for service hours.

  • Pumpkinfest – A record breaking success. All expenses are in except for products used from Brodnick Hall. Lesley is waiting for that total from Jennifer. Members weren’t aware that we pay for Brodnick Hall products. Lesley explained that Jennifer is in charge of budgeting Brodnick Hall, its events and ordering of products for her events. While Jennifer makes available to us what is in stock for convenience, we report what we use so that she is aware of where such items go. Lesley includes such expenses in her budget for service/outreach projects. See the attached Expenses and Recap handout that was shared at the meeting.

  • September Hosea House – Marti & Geri Herbert, Korri Iracondo, and Barb Fowler were among the Outreach members who served 118 guests.

  • PSR Outreach Activities: City Heights submitted requests for 113 Halloween costumes. Barb Fowler and Sue Helmer volunteered to help sort through the donated costumes on Thursday, Oct. 23. We will fill as many requests as the donations allow. Any extra will be brought to Hosea House for the October meal.

  • Alternative Christmas Fair: Lois reported that the A.C. committee met and decided to drop the number of participating agencies from 13 to 10 this year because of low contributions last year and this year’s economy. It was decided that both Gallatin Co. and City Heights will not be invited to participate since we support these two on a monthly basis financially and they are recipients of ongoing food collections, the garden and other yearly collections. St. Charles will also be removed from the agency list since we support them through the Yard Sale, and the Pharmacy will not be invited this year since they were a 2008 grant recipient. Hopefully, this will boost the dollar donations for remaining organizations. The fair will take place on Dec. 7 as opposed to a Nov. date as in years past. This too may help with shopping. This is also the weekend of the Christmas collection that will be in the Youth Room. This may bring more people into Brodnick Hall to see what the Fair is all about and learn more about the organizations represented.

  • Reusable Shopping Bags: Because of the holidays and the economy, the idea of selling reusable shopping bags with a St. Timothy Thinks Green logo has been tabled until a later date.

  • Oktoberfest:  looks like it is going to end up at around $69,000- $70,000. Subject to Change. Last year’s final profit was $64,700.

  • Nov.19: Holiday Shop night. Planning is going well, we have a good variety of vendors, confirmed 25 so far.

  • Feb.21: Dinner Dance/Auction
