St. Timothy Pastoral Council Meeting Minutes
May 6,2008
Present: Fr. Rick Bolte, Fr. Jacob Varghese, Dave Shefchik, Jim Sholar, Jerry Beatrice, Al Kovacic, Rick Harvey, Mark Dornoff, John Gould and Randy Herbert.
Absent: Marin Smith and Steve Lemberg.
1. Al Kovacic offered the opening prayer, and the April minutes were approved.
2. Pillar Reports.
A. John Gould presented the Finance report. The balance sheet showed a deficit for March, mainly due to an expense item paid out in March which was not budgeted until April. Collections continue to show an increase over last year, and the Finance Committee expects to show a surplus at the end of the year.
B. Al Kovacic presented the minutes from the April Worship Committee meeting (see attached). One item discussed was the need for more volunteers to prepare the baptismal font for the Easter Vigil, and to return the area to normal after the Mass has ended. Katie brought up the idea of the choir presenting a choral concert for the parish, possibly during the summer.
C. Jim Sholar gave the Outreach report from the April meeting (see attached). The room setup for the Brighton Recovery Center is progressing, but slowly. The Ministry Crawl was a great success, and numerous ideas for improving parish's outreach resulted from it. Next blood drive is scheduled for October 8.
D. Marin
Smith was absent, so there was no PSR report.
Fr. Jacob reported on the Youth Ministry
(see attached). The STYM
served a meal at Hosea House, and did a project at Lifeline during April
with 30 young people participating. In addition, the youth group hosted
a meal for 48 seniors on May 4. Both groups enjoyed the day so much
that it is expected to become a regular event. The STYM has grown to
around 30 members and is becoming more active all the time. Well done,
Charlotte.
Father Jacob also reported on Adult Faith Formation. There were
approximately 40 people at Dr. Hill’s presentation on Carrie ten Boom
for Tapping into Theology. The next presentation will be Sr. Barbara
Fiand on May 12 on the topic of Creation and Spirituality.
E. Rick Harvey gave the Community report (see attached). Vacation Bible School will be June 9 through 13. Planning for Oktoberfest has already begun. Jennifer is working on a more complete set of guidelines for room usage to improve accountability for the condition of rooms after meetings and events. Fr. Bolte will be celebrating his silver jubilee on the weekend of May 31. There will be a reception on Saturday after the 4:30 Mass which will include dinner. A second reception will be held on Sunday, June 1, after the 11:30 Mass.
3. Steve Lemberg reported that six new families registered in the parish in April. The Welcoming reception was on April 27, and three families attended. The stewardship fair resulted in five new volunteers for the welcoming committee. Steve is still researching costs for a crucifix and scripture study guide for welcoming packets.
4. Dave Shefchik reported that the parish selected the cup-shaped sign over the square one. The original proposed location is unworkable because of the easement for the city sewage pipes close by. He and his committee are discussing alternate possibilities.
5. Mark Dornoff attended the last Diocesan Deanery Council meeting. He reports that they continued to discuss input from the synod, and that he has been selected to be president of the council.
6. Pastor’s Report.
A. The Eagle Scouts continue to work on the meditation walk. They are clearing the trail, and planning the landscaping for the path. They plan to incorporate the memorial for miscarried children suggested by a parishioner.
B. The interview and bid process for an architect continues. The cost will be higher than anticipated, unfortunately. In addition, the diocese now insists that for new construction, the parish must have half the money in the bank, and the other half pledged. Our ability to fit into our present facilities will not last much longer, so there is a sense of urgency about getting started.
C. Nominees for Pastoral and Finance Councils will have their discernment meeting on May 18.
7. The next PC meeting will be June 3. Jim Sholar volunteered to offer the opening prayer, and Steve Lemberg the closing prayer.
8. Fr. Jacob offered the closing prayer, and the meeting was adjourned.

Worship Report
Worship Committee Minutes: April 16, 2008
Present: Fr. Bolte, Fr. Jacob, Helen Baltz, Kelly Stuckenschneider, Becky Herbert, Stephanie Schenk, Pat & Larry Lense, Al Kovacic, Katie Barton, Madeline Bond and Michelle Alley.
Madeline started with a prayer at 7:00 pm.
Holy Week Review:
• Palm Sunday: The palms for the 11:30 Mass weren’t taken out of the box in the sacristy all we had left from the previous Masses were handed out.
• Holy Thursday: Seder meal was very good and well attended for our first time.
• Good Friday: Service from 1-3 was well attended.
• Easter
Vigil:
Remember to have a towel for Fr. next year for when he gets out of the
Baptismal font. Cintas can provide extra mats and towels if needed.
Committee needed to handle set up and tear down before and after Easter
Vigil. This includes moving steps and pews and placing plastic, mats and
rugs around font and removing them afterward. Perhaps we can advertise
this to the men’s prayer group and get a few good men.*
Also need a committee to handle the arrangements for the RCIA reception
after Easter Vigil.*

Easter Sunday:
Masses: 8am was packed – next year sign up a full compliment of
Liturgical
Ministers. 9:30 and 11:30 were full as well.
Easter Flower fund went very well – around $500 was collected
Easter music was wonderful.
Blessed Sacrament Chapel:
• Some people are wanting a crucifix or statue in the chapel. There is no rule against having a picture of Mary or a small statue in the Chapel it is just a matter of preference.
• At one time we discussed having glass doors between the main church and the chapel so it would be more visible but there was fear that it would then become a cry room.
Music Ministry:
• Katie was wondering about doing a Choral Concert. When would be a good time of year to have this? St. Timothy Feast day is in January and too close to Christmas. Summer may be the best time – perhaps a Sunday afternoon concert followed by a meal or hors d’oeuvres.
• Choir Robes: The choir is interested in wearing robes since they are in the front of the Church. We have over 20 members and they were unanimous in their interest. Eventually Katie would like to have 40-50 members.
• Choir Space: The choir is running out of room. They now have 4 rows and those in the back can’t be heard. Any suggestions for making more room would be appreciated. Katie is checking into using risers or moving into the space behind the altar. Both of these ideas create some problems.
Homilies: Fr. Bolte will put Fr. Jacob’s homilies on the Website whenever Fr. Jacob wants them on.
Worship Committee Discernment:
Larry, Pat and Helen are due to come off of the Worship Committee in June. Father is starting the nominating process this weekend. Helen will handle calling the nominees.
How do we get Liturgical Ministers to show up when they are scheduled?????
-Could Fr. mention this at Mass for a weekend?
Stewardship:
Larry & Pat want to set some dates for training of new Eucharistic Ministers and Mass Assistants. These dates will be put in the bulletin as an invitation to anyone interested in these ministries – not just those who signed up on Stewardship.
We will have no May meeting. The newly discerned members and the outgoing members will attend our June meeting on June 18.

Outreach Ministry Meeting Minutes: April
10, 2008 at 7pm

Sholar.
Meeting was opened with prayer led by
Lesley.
April Grant:
- Casa volunteer appreciation dinner & awareness evening is April 14th.
- Thirty CASA volunteers have responded so far.
- Colleen Bohman, guest speaker, will address the community concerning
CASA need for volunteers, what it does, & how it operates. Public is
invited to the talk at 7:15pm.
Brighton Recovery Center:
The parish response to the items needed for the 2 rooms St. Tim’s will
sponsor has been slow so far. The first room sill be set up on Friday,
April 18. Barbara, Rosalie & Lesley will assist with the room setup. It
was mentioned that the Target website is a bit cumbersome &the
suggestion was made that gift tags be handed out at the Masses with the
necessary item listed on the tags. Barbara will make the tags.
May Grant Recipient-Action Ministries
- Project date is May 17, 9-1pm.
- Volunteers will be needed to help sort food, label & stock shelves.
Lesley reported that there was a person in
need of moving from one location to another. Lesley has put the person
in contact with legal aid.
February Grant Project with St. William
Parish
Slowly moving forward. Mark Helmer reported that the metal/fire doors
have been installed. The old carpeting has been removed & the electrical
work has been completed. The project still needs flooring, shelving, &
painting.
Ministry Crawl:
30 people participated in the crawl & the Duggans kept everyone on track.
Rosalie suggested a diaper drive for the
stops that were involved with babies. The Outreach Committee thought the
parish sponsored enough drives;
Rosalie also suggested that gift bags for
siblings of CareNet clients & for the children celebrating birthdays at
the Parish Kitchen be provided by St. Tim’s Outreach. Rosalie will
contact Molly to see if the Parish Kitchen would allow the bags to be
given to the children. Crystal suggested the Families for Life could
possibly supply the gift bags for the siblings of CareNet clients &
perhaps even provide something for siblings at the annual Baby Shower.
The possibility of a St. Tim’s prayer
email line was discussed also. There are several groups that request
prayers through the Men’s Group, CRHP etc., but they have not been
united. Rosalie will contact Bob Dupue , Fay Gosney & Mary Brizinski
regarding how they handle requests.
Blood Drive: Jim Sholar reported there
were 59 people that signed up to give blood & there were 39 units of
actual blood drawn. Another drive will probably be held in 6 months.
Thanks to Crystal for providing the cake for the participants in the
drive.
Fr. Ruschman Garden: volunteers are needed. The committee has decided on
what to plant.
Stewardship Commitment Sunday: Michelle
will notify Lesley if anyone signed up from the Stewardship Fair for the
Outreach Committee.
Jim Sholar reported there was a family in
the parish that needed help with yard clean up & possibly help them
plant flowers etc. He will contact Mike Klahr concerning the type of
plantings. The service could be offered to other parishioners too.

Report

Father Bolte's Jubilee:
We are having two receptions for Fr.'s Jubilee, one on Saturday, May 31
after the 4:30 mass, it will include a catered dinner, and a second one
on Sunday, June 1 after the 11:30 mass with light refreshments.
Vacation Bible School June 9-13:
Things are moving along, we did add the adult component; hopefully
people will take advantage of the opportunity. Deb Thomas and I are
working on it together and are very excited about what we have planned,
we would love to have as many people involved as possible so if anyone
on council wants to take part, please encourage them to do so, also it
is open to people outside the parish so if they have family they want to
invite that would be great too.
We will have our usual closing Mass and party on Friday of VBS week, the
entire parish is invited to attend. We also plan to use VBS music in the
weekend masses following VBS.
Oktoberfest:
It's time already--hard to believe! There is a newly formed Sponsorship
Committee that is creating a hierarchy of sponsorship levels. I think
this will serve us well and help improve our success in this area. The
committee members are really excited about taking on this responsibility
and I think they are going to do a great job. This should improve our
profit margin for the festival. If anyone has a sponsorship lead, please
pass the information on.
The rest of the Oktoberfest Committee will be getting together soon.
Room Usage:
I am currently working on a more strict set of guidelines for room usage
to encourage more respectful use of our facility. The main goals are
that the tables would be left in the same arrangement each evening, cut
down on the misuse of supplies and equipment, and have more
accountability for the condition of the rooms. It will be put into
effect in time for the beginning of fall meetings. I will send you a
copy when it is complete.
STYM Report

We served a meal at Hosea House in April along with another outreach project with LifeLine. We had 30 kids show between the two outreach opportunities - isn't it wonderful when these kids love to serve.
On May 4, the youth group hosted a meal for 48 Senior Citizens of the parish and a grand time was had by all. Many of the youth group members along with Fr. Jacob, Charlotte & Mary met at the home of Peter & Amelia Laterza on Saturday to prepare the meal. We were there from 10am until after 3:30pm on Saturday and on Sunday, the youth began to gather at 5:00pm to help with finishing touches on the meal, go over their instructions and prepare the flowers given to the women. They didn't leave on Sunday until after 9:00pm when the cleanup was finished. Fr. Jacob's homily on Sunday morning spoke of how people would rather see a homily than hear one. Sunday's event was truly a living homily. Events such as this take much time and energy and lots of planning prior to the day of the event. Some of the seniors were moved to tears by the generosity and selflessness of these youth. The youth were so taken by the seniors that they wish to continue to interact with them on a regular basis. Adopting a grandparent possibly in the near future. Some of them wish to offer to do yardwork or other "individualized" outreach for some of these seniors in need.
Our youth group has grown over the last 3 years from a regular attendance of 5 to a regular attendance of around 30.+/- a few each week. These young adults have begun to serve in more visible ways around the parish - in mass, at mission trip fundraising, outreach in the community, volunteering for parish events as in Oktoberfest, VBS, Easter Egg Hunt, Breakfast with Santa, FishFrys, fundraisers, etc... I hope you can see the value of these teens evangelizing their environment - not just in the parish, but they carry the fire home and aren't afraid to bring it to school. They aren't afraid to speak of faith or about God with their friends. Something wonderful is happening within our community and it's bubbling up in the high school students.
In speaking with other youth ministers in the diocese, Charlotte has discovered that we are now one of the largest regularly attended youth ministries in the diocese. The other youth ministers are asking her to share her ideas to assist them in growth of their own youth ministries. She has been told that she's done in three years what others haven't been able to do in 8 to 10 years - 500% growth! She continues to meet with other youth ministers on a regular basis for diocesan youth ministry meetings and keeps abreast of the latest information pertaining to this age group. The youth ministry is her passion and she would like to bring it to the next level adding a retreat next year along with other many exciting things – possibly even a play... All of this requires much time and energy and for this reason, she has proposed giving up the 7th & 8th grade Confirmation program to focus on reaching this hard to penetrate group of kids. Right now, Charlotte, her helpers and the Holy Spirit are succeeding, can you imagine what she could do if all of her time and energy were focused here?
I would like to invite each and every member of the council to attend any youth group meeting to share faith, fun and prayer with us and take the opportunity to get to know these wonderful kids. They truly are gifts to our parish, their families and the community.
