St. Timothy Pastoral Council Minutes
May 15, 2007
 

Present:  Fr. Rick Bolte, Fr. Jacob, Mary Brzinski, Jim Sholar, Jerry Beatrice, Rick Hoban, Marin Smith, Larry Lense, Leigh Ann Divine, and Randy Herbert.

Absent:  Jerry Grefer and Mark Dornoff.

 1.    The opening prayer was offered by Mary Brzinski, and the April meeting minutes were approved.

 2.    Pillar Reports

            A.    Rick Hoban and Leigh Ann Divine presented a detailed report on income and expenditures for the Fiscal Year ending June 30th, and the projected budget for the FY beginning July 1st.  We are expecting a net deficit for both years.  Some discussion took place regarding costs and revenues associated with Brodnick Hall.  Ideas were explored to make the hall at least break even.

            B.    Larry Lense gave the Worship Committee report (see below).  The last meeting dealt mostly with Holy Week services, reviewing what went well and what needs to be improved.  PC discussion concerned a reported odd smell near the Baptismal font.  Members will investigate.

            C.    Jim Sholar gave the Outreach Committee report (see below).  The mission trip still has room for 25 more people, and the committee hoped to raise 5 to 6 thousand more dollars to pay for the entire trip.  Jim reported that there has been minimal response to this month’s outreach project, possibly because of the way it was presented.  It was made to sound like only people with power tools and skills were needed.  The multi-state yard sale will take place August 4th.  Tables in front of St. Tim’s can be rented for $15, and donations of items to sell are being accepted.  The proceeds will be use to pay the salary of the nun replacing Ted and Mona Lewis at the school in Zambia.  The Christmas giving tree will not be done by region this year.  The committee is exploring the idea of a digital photo viewing screen to scroll photos of parish events in the kiosk.

            D.    Marin Smith did not obtain a Faith Formation report for this month.

            E.    Mary Brzinski gave the Community report (see below).  The wine tasting was a big success, with 85 to 90 people attending.  The next event is scheduled for October.  Projected summer events were reviewed as well.  There have been a number of inquiries into the possibility of a baseball/soccer field on the hill.  Fr. Bolte requested those interested submit a proposal and plan of use.

 3.    Jim Sholar reported that 52 families have registered in the parish since January 1st.  The welcoming will now be after the 9:30 Mass on the last Sunday of each month.  There was a social event for all the new people of the parish, but only two couples came.  The dance originally scheduled for the end of June was rescheduled for June 1st.  As a consequence, there will not be a dance instructor available as planned.  The April welcoming event had five attendees.  There was no progress report on the regions.

 4.    Jerry Beatrice reported that the clean-up event for the Parish Center basement took place as scheduled, with the exception of the Oktoberfest materials.  The basement still requires emergency lighting, and the sprinkler system should be installed this month. 

 5.    Pastor’s Report.

            A.    Fr. Bolte reported that DPAA pledges are up to $160,000 from approximately 350 families.  We are still exploring ways to involve more families, even for small amounts.

            B.    Fr. Bolte has not yet met with the architect for the pre-school.  The plans for electricity, heating and air conditioning still need to be submitted for code approval.

            C.    The footings for new signs are now complete and correct.  It will cost approximately $1000 to wire them for electricity, since the wiring must run under the driveways.  A temporary sign is up by the Hwy 42 entrance.

            D.    There were plenty of nominations and enough interest in the Pastoral and Finance Councils, and the Worship Committee.  There were 19 nominations for the PC alone, and most nominees were interested.  Discernment is set for May 20th.

            E.    Leigh Ann Divine is having difficulty selling her house in Triple Crown, and has suggested that the parish may want to raffle it.  Any proceeds over the selling price would go to the parish.  Fr. Bolte is exploring the idea further.

 6.    Nothing new will be done about the stained glass windows until the results of the DPAA are in.  The ideas written on the pledge cards mostly mention including a likeness of St. Timothy somewhere in the window.

  7.    The June meeting will take place on June 26th, and will include the new members.  The date was moved due to the mission trip to D’Ibberville.  Opening and closing prayers were assigned to Fr. Bolte and Fr. Jacob respectively.

 8.    Fr. Jacob offered the closing prayer, and the meeting was adjourned.

WORSHIP
Worship Committee Minutes- April 18, 2007

Present: Fr. Bolte, Fr. Jacob, Helen Baltz, Larry Lense, Madeline Bond, Kelly Stuckenschneider, Becky Herbert, Stephanie Schenk and Michelle Alley

Helen started the meeting at 7 p.m. with a prayer.

  1. Holy Week
    a. Palm Sunday
    - it was slow passing out the palms at 11:00 Mass
    -we forgot to collect the old palms the weekend before Ash Wednesday
    - next year don’t open the bags of Palms, they dry out too much
    - we may need a few more next year
    b. Holy Thursday
    - set up ahead of time who will bring up the oils (RCIA candidates?)
    - the right songs were sung with the right oils etc. this year.
    - Ask the Pillar heads to include a couple of children for foot washing next year.
    - Marin Smith will plan a Sedar meal for either Holy Thursday or before.
    - Procession with the Blessed Sacrament around church before going over to the temporary chapel in the Parish Center. If we get everyone to process, they won’t all fit in the temporary chapel. Check the Sacramentary for possible procession procedures.
    c. Good Friday
    - we had a good crowd this year for the 1 pm service.
    - service went well
    - we ran out of programs, need more for next year.
    d. Holy Saturday Easter Vigil
    - there was no big delay while the catechumens changed. It worked better letting them leave right away. Letting people come to the font to bless themselves filled up the time.
    - Need more towels for next year.
    - Need bath mats at the bottom of the steps from the font.
    - We seemed to have a bigger crowd this year than last.
    e. Easter Sunday
    - Sunrise Service- It was very cold., less people than last year.
    - 9am Mass- Seemed less crowded than last year.
    - 11am Mass- very crowded.

    Locking up the chairs in the youth room worked well so that no one could drag them upstairs into the Gathering Space.

    The church looked beautiful for Easter and 1st Eucharist the following weekend.
     

  2. Stained Glass Windows
    - The committee is narrowing down the designers (we have 4)
    - We will add this to our DPAA goal for this year. If we collect enough for one window someone has offered to match it to pay for the other window as well.
    - We will ask for ideas for a design theme when we announce it with the DPAA.
    - Stephanie would like to be on the committee.
    - If both windows are done, lighting may need to be increased over the choir area.
     

  3. Stations of the Cross
    - the stations we had hoped to get from Marydale went to St. Paul’s.
     

  4. We would like to subscribe to some Liturgical Magazines for the Worship Committee and perhaps get some information on Conferences some of us could attend for ideas and information.
     

  5. Parish Mission
    - Julane Simpson’s husband will play the piano for the 8am Masses during the Mission.
     

  6. Art & Environment
    - What about a flower fund for Lent and Advent Flowers?
    - Note in the bulletin those who donate flowers for Christmas and Easter.
    - Would prefer potted plants as opposed to cut flowers for the Altar.
    - We wouldn’t set an amount – any donation accepted
     

  7. Worship Committee Nominations
    - looking for 6 people at large
    - Nominations in April, Discernment in May, 1st meeting in June

    Our next meeting will be May 16.

FORMATION

COMMUNITY

Jennifer Fedders provided the following facts:

1. The fish frys earned $11,500 (net) which is up about $3,000 from last year.
2. Wine Tastings:  The Wine tasting hosted between 85-90 people on May 3rd. The prior wine tasting only hosted approximately 30 people.The Community Pillar is planning on hosting another wine tasting event in October with Dinner to sample different wines during a meal.
3. The summer events include:
- June 1st will be a Thank God It’s Friday dance with a DJ. All parishioners are welcome. There will be a $5 charge, however any new parishioner who has joined the parish since January will be invited to come free of charge.
- June 11th through the 15th will be Vacation Bible School and the entire parish is invited to attend the closing on June 15th (Friday) – I think a meal is included
- July 19th is St. Timothy day at a Florence Freedom Game.
- July 28th is a parish potluck with games on the hill
- August 18th is the Blacktop Dance

4. Item for discussion:
Many people have mentioned to Jennifer the need for a soccer field and a baseball field. She believes the cost would be minimal. It is the hope that St. Timothy would be able to enter teams into the Boone County soccer or baseball leagues this fall.


OUTREACH

Outreach Ministry Meeting Minutes- April 18, 2007 at 7pm

Attendance:
Paul Barth, Jerry Beatrice, John Benton, Joe Campbell, Lesley Duggan, Carol Harvey, Marta Herbert, Dick & Rosalie Hentz, Anna Humphry, Lois Lambers, Crystal Pohlman, &Jim Sholar,

Lesley opened the meeting with prayer.

Stewardship Fair
Lesley was unable to show us the Outreach Photo Power Point presentation due to schedule conflict. It is ready for the Stewardship Fair, however. The Stewardship Fair will be held April 28-29 in Brodnick Hall. A sign up sheet was passed around for members to choose a time after Masses they could volunteer to man the booth. Ideas for the booth were presented. Carol Harvey will do the presentation board which will include photos from various outreach projects. She’ll also decorate the booth with a treasure type chest since the theme is Share Your Treasure. She will also use a clock to represent the sharing of time John Benton will set up the Power Point Presentation for the volunteers. Information flyers with a description of the Outreach events and activities will also be available at the booth.

Old business from meeting of March 2007:

  1. Ted and Mona Mission
    a. Lois Lambers reported that the students Mona tutored have been accepted into a school.
    b. Eight boxes of supplies were sent to Africa, compliments of DHL.
    c. There is a need to raise $1500 to pay a nun who is the teacher at the school. Presently she is working without a salary. To raise funds, Lois will head a committee to participate in the Longest Yard Sale which takes place on Route 42. The date is August 4, 2007 from 8am to 2pm.. It will cost $15 to rent a space. Discussion followed as to what type of booths St. Tim’s would sponsor. Thoughts included a food/drink booth for early morning buyers, barely used items, & no booth with clothes.
    d. Crystal will help with publicity/signage.
  2. June 17 mission trip to Mississippi
    a. The youth need to raise $11,000 for their trip. Youths will sponsor a car wash, a window wash, sell donuts after Masses, & build a virtual house at St Tim’s where parishioners can purchase bricks, windows, doors, tiles for the roof etc.
    b. There are 30 people going on the trip & the bus holds 55, so there are available seats.
  3. Families for Life
    a. Crystal reported on April 28th there will be a Walk for Life for New Hope Center
         The money raised will be allotted to the ultrasound program, & other programs.
    b. The first weekend in June there will be another walk from Newport to Cincinnati
  4. New Perceptions-Grant Recipient:
    St Tim’s will fix up the outdoor area-plant flowers, mulch, improve garden area.
  5. Planning Day follow up:
    PSR support team for 2007-08. Incorporate daily life & be aware.
  6. Take Me Out to the Ball Game
    To be held at Florence Freedom Park. It was decided to take the Foster Children
  7. New business covered:
  8. Kiosk Photo board
    Purpose-to encourage people to check out the activities that St. Tim’s participates in & provides. 19” flat screen monitor will provide digital pictures. Needs electrical hook up.
  9. Basement Clean up-
    - will be held May 12th. Remove articles before then or they will be removed.
  10. Outreach Shirts- discussed
  11. Possible Calendar Dates for Outreach Events
    • October 10th-Pumpkin Feast at Benton Farm
    • November 17/18th-Thanksgiving collection with delivery on the 20th
    • Christmas Giving Tree set up Thanksgiving weekend. Distribution of tags the weekends of the 8th & 12th. Sorting party on the 13th & delivery of gifts two days later. Discussion of gift tags & relocation of tables & spacing issues.
  12. Other social events
    Discussion of other possible Outreach events-Friday night dances to be held every other week or once a month.-possibly try a Friday night dance in June.

Adjournment----The next Outreach meeting will be on Thursday, May 24 at 7pm in the Parish Center. If the Women’s Prayer Group continues to meet on the third Thursday of the month, we will meet on the second Thursday.
