St. Timothy Pastoral Council Meeting Minutes
March 4, 2008

 

 

Present:  Fr. Rick Bolte, Fr. Jacob Varghese, Dave Shefchik, Jim Sholar, Jerry Beatrice, Al Kovacic, Rick Harvey, John Gould, Marin Smith, Randy Herbert.

Absent:  Steve Lemberg, Mark Dornoff.

  1. Randy Herbert offered the opening prayer, and the February minutes were approved.

  2. Pillar Reports

  1. John Gould gave the PC the income statement from the latest Finance Council meeting.  The parish continues to grow, and the growth is reflected in the contributions.  The result is that we are currently over budget on collections, and under budget on expenses again.

  2. Al Kovacic presented the Worship Committee minutes (see attached)
    Kelly Stuckenschneider is working on robes for those baptized at the Holy Saturday Vigil Mass.  She plans to make brown ones to be immersed in, and then white ones to change into.  Marin Smith is still working on the Seder meal for Holy Thursday, and plans to substitute roast beef for lamb.

  3. Jim Sholar presented the Outreach Committee minutes (see attached).
    The STYM mission trip to New Orleans has room for 55 people.  So far there are 70 folks signed up for it. There will be a blood drive at St. Tim’s on March 25th.

  4. The Formation pillar will be divided now into PSR and Youth/Adult formation. 
    Marin advises us that Valerie Bresiger took solo control of the PSR program as of March 1.  The transition was smooth and the program is running well.  The 2nd graders are busy preparing for their Jesus Retreat on March 9.

  5. Fr. Jacob gave the report for the STYM and adult formation.  The youth group continues to grow, with 31 attending the meeting last Sunday, including 7 new members.  With some renovation taking place, the meetings will return to the youth room on March 30.  Stephanie Shenk is hard at work organizing our parish library.

  6. Rick Harvey gave the Community report (see attached). 
    The figures are in for the Dinner Dance.  The net proceeds were over $20,000, which is over $5,000 better than last year.  The Fish Frydays are also setting records for attendance, at least until the bad weather hit.  The wine tasting scheduled for March 28 will include an Italian dinner at a cost of $20 per person.

  1. Steve Lemberg was absent, but reported to Jerry via e-mail that 12 new families registered in the parish in February, three of whom attended the welcoming event on the Feb.24.  The next event is scheduled for March 30.  There is still nothing to report concerning regions.

  2. Dave Shefchik reported that designs for the parish sign are being submitted by Mark Brown.  Dave will form a committee to consider them.  Discussion followed about how to get electrical power to the parish sign, and to the entrance signs, but no conclusions were reached as of yet.

  3. Mark Dornoff was unable to attend, so there was no report on the Deanery Pastoral Council.  However, Fr. Rick advised us that installation of the stained glass windows is scheduled to begin on March 10 and be complete by March 19.  Daily Mass and Tuesday adoration will take place in the Parish Center during that time. 

  4. Pastor’s Report.

  1. Fr. Bolte presented the idea of expanding our school to include an afternoon kindergarten.  The rooms will be used only in the mornings during the coming school year, so would be available for use in the afternoons.  The bishop has approved the idea, and Deb Thomas has agreed.  She would need some additional administrative classes for certification as a principal, but plans could proceed by naming Fr. Rick as “headmaster” in the interimIn the discussion that followed, Marin clarified for us that Dave Shefchik is not a woman.  The rest of us weren’t sure that issue was in doubt, but are always grateful for any illumination.  The PC approved the kindergarten idea unanimously.

  2. There are a number of Eagle Scouts working on a Meditative Walk on the parish property.  It will include a walking path around the pond, and hopefully a set of stations.  There will also be benches placed at intervals along the walk.

  3. Fr. Rick is looking into a new set of stations, larger than our current set, for the church.  In the meantime, the backing put behind the stations makes them more visible.

  1. The next PC meeting will be April 1.  Al Kovacic volunteered to offer the opening prayer, and Rick Harvey the closing prayer.

  2. Jim Sholar offered the closing prayer, and the meeting was adjourned.

Worship Report

Worship Committee Minutes: February 20, 2008

Present:  Fr. Bolte, Fr. Jacob, Helen Baltz, Kelly Stuckenschneider, Becky Herbert, Dolly Holzwarth, Stephanie Schenk, Pat & Larry Lense, Katie Barton, and Madeline Bond.

Fr. Bolte started with a prayer at 7pm.

Old Business:

Lenten Penance Service: Tuesday, February 26 at 7 pm. Bishop Foys will not be here.

 

Old Palms: collected old palms the weekend before Ash Wednesday for Larry & Pat to destroy.

 

Holy Thursday:

  • Seder Meal: 5:30pm in Brodnick Hall. Marin Smith is organizing.

  • Mass: Mike Keller will arrange for 12 people to have their foot washed at Mass.

Chrism Mass: Tom Nolan will get people to represent St. Timothy’s and collect our oils.

New Business:

Good Friday:

  • Good Friday Service & Veneration of the Cross will be at 1 pm

  • Stations of the Cross will be at 7 pm.

Holy Saturday:

  • We don’t know how many baptisms there will be. A suggestion has been made for new robes. They were priced at 6 for $350.00 which is too expensive. Kelly offered to look into making them with some help from others. She took the catalogue for design ideas. It was also suggested to have brown robes for the immersion and change into white afterward.

  • Larry & Pat will check on the vigil candle supply. More towels will need to be purchased as well.

  • Pews will need to be moved before the vigil Mass and returned after.

  • The doors to Brodnick Hall should be locked as they were for Christmas.

  • We don’t know how many people will be here for the Breakfast with the Easter Bunny on Saturday morning. 

Fr. Jacob’s Homilies are going to be put on the website.

Adoration:
We need to have a box made as a base to raise the monstrance 6-8 inches higher on the altar.

Oil candles have been purchased and the candelabras are being cleaned.

New Dishes:
We have gotten in more bowls and the ciborium but the ciborium we received had a dent in it. They are sending a new one out to replace it.

Hosts:
Suggestions were made how to more accurately determine the number of hosts needed for Masses. One suggestion was for ushers to count people as they come in or place hosts in a bowl as they enter. Both were considered impractical.

Outreach Report

Outreach Ministry Meeting date: February 7, 2008

 

In attendance: Lesley Duggan, Marty Herbert, Crystal Pohlman, Bob Holzwarth, Lois Lambers, Paul Barth, Charlene Melihercik, Mark and Sue Helmer, Sharon Ryan

 

Meeting was opened at 7pm with prayer by Lesley.

 

Bec Concerned Easter Baskets
It was agreed to have a candy bar drive in our Parish to help fill 600 baskets distributed by BeConcerned. Promoting the drive: to be announced after masses on 2/9 & 2/10 & possibly have flyers and or posters. Deadline to bring candy 2/20. Lois & Charlene volunteered to deliver candy.

 

Spring Cleaning Collection

Cub Scouts to hand out clothes pins on 3/2 & 3/3. Boy Scouts to collect on 3/8 & 3/9. Sue & Mark Helmer volunteered to deliver to Gallatin County on March 10th.

 

February Grant Project

  • Mark Helmer reported on pantry project. 16 volunteers are to be divided into two weekend work groups due to small size of room. Deacon Mike making materials list and work flow chart. Electrician to look at project needs. Rick Hart is possible contact to help with movable shelving.

  • Parishioner Amelia Laterza volunteered to provide lunch for work group.

  • It was suggested that St. Timothy stock shelves to get them started. Part of St. William’s submitted grant application states that the pantry would bring the parish together to fill the pantry. Then it was agreed that Saint William should get started on their own, but that Saint Tim could add the pantry to our Thanksgiving collection.

April Grant Project 

  • Appreciation dinner for Boone County CASA advocates. Dinner to include spouses of advocates. CASA director Colleen Bowman to be guest speaker at program to attract and inform new volunteers. Local churches of all denominations to be invited with hand addressed invitations. Lois to help Lesley with invites. Dinner and program to take place at St Timothy. Dinner expenses to be deducted from grant money so expenses to be kept to minimum. Crystal volunteered to coordinate dinner and Sue and Sharon to help.

  • Question was raised whether St. Tim is recruiting volunteers for CASA and should they be Virtus trained. No. Training will be through CASA.

Ministry Crawl

  • Bus secured from Saint Agnes Church at a cost of $360 for bus and driver. It was agreed not to charge for going on the Crawl but to ask for free will donations. Lunch to be at expense of crawlers. Hours 8:30am - 3:30pm. A maximum of 46 people can go.

  • Volunteers needed to make creative advertising.

  • A vote was taken to determine which ministries to visit. Hosea House and HONK were least voted for. Lesley to check with each ministry for access availability.

  • It was suggested to add Saint Vincent DePaul Pharmacy to ministry crawl next year.

Outreach Ministry at the Stewardship Fair

Sharon volunteered to help Lesley with ideas for Fair to attract new members for Outreach Ministry Committee. Lesley wants specific information for people to take with them to read later.

Emphasis for stewardship to be on time & talent only since we just had the Offertory Project

 

Blood Drive: Jim Sholar to head up.

 

Fish Fry Home Delivery: No response. Plan more for next year.

 

Catholic Children's Home Festival

In previous years, St. Tim’s has manned the grocery booth with volunteers for the weekend.  Bob Holzwarth volunteered to coordinate this year’s booth.

 

Mission Trip 2008:

  • June 15 to June 21 - destination St. Bernard Parish, suburb of New Orleans.

  • Tools and supplies provided. Accommodations to be in actual building with kitchen & bunk beds.

  • It was asked if we could get feedback on Mission 2007 as incentive to sign up.

We had just under 200 people in attendance.  Gross intake was $33,170 with net proceeds of $20,300.  This is an improvement over the previous two years.

Weather was a factor in Week 3.  We have invested in 2 more fryers to keep up with the demand.  We had to recently return a double fryer on loan to us and we were having trouble keeping up with the crowds.  It cost $1600 to purchase 2 new fryers and would have cost $1000 to rent them for the remainder of the year.

 

Seder Meal

Thursday, March 20, 5:30.  $7 for adults, $5 for Children.  Marin Smith will fill in with more information.  Advance registration required, spaces limited.

 

Bunnyfest/Easter Egg Hunt

Saturday, March 22, 9:30-11:30.  $5 per person, 2 and under free. 

 

Italian Wine Tasting and Dinner

Friday, March 28th, 6pm.  Wine Tasting and appetizers will be followed by an Italian Dinner.  $20 per person.  Advance registration required, spaces limited.

 

Vacation Bible School: June 9-13.
