St. Timothy Pastoral Council Meeting Minutes
January 16, 2007

Present: Father Rick Bolte, Mary Brzinski, Jerry Grefer, Jim Sholar, Larry Lense, Rick Hoban, Mark Dornoff, Jerry Beatrice, Marin Smith, and Randy Herbert.(minutes)

  1. The opening prayer was offered by Jerry Beatrice, and the November meeting minutes were approved.
  2. Pillar Reports:
    a. Rick Hoban presented the minutes from the Finance Council January 10th meeting. Rick advised us that contributions for Christmas were up $11,000 over last year, probably due to Christmas falling on Monday. Our parish DPAA target for this year is $134,000, which is the highest in the Diocese. (minutes)

    b. Once again, the Worship Committee meeting will take place after the PC meeting, so no minutes were available. With Fr. Bolte’s and Mary’s approval, I will include the minutes from the January 17th meeting as an attachment when they become available. (minutes)

    c. The Outreach Committee also had not yet met in January, and the minutes from their meeting on the 18th will be submitted. Jim Sholar was able to give some of the highlights expected. (minutes)

    d. Marin Smith presented the minutes of the January Faith Formation Committee meeting.  If anyone has ideas for fundraisers for the STYM trip to the Gulf coast, please forward them to Charlotte. (minutes)

    e. Jerry Grefer gave the Community pillar report. Especially notable is the eligibility for a drawing for a free night at the Marriott Hotel for those who purchase Dinner Dance tickets in January.  (minutes)
     
  3.  Mary Brzinski reported that the Parish Survey will be in the mail by week’s end, and that the website should be up and running by next week.
  4. Jim Sholar reported that the first Welcoming event will take place on January 28th after the 11 am Mass. Coffee and doughnuts will be offered in the Youth Room, and the committee is preparing a calendar of Parish events to hand out. Jim said that they would try to do a welcoming event on the last Sunday of each month. There was also discussion regarding a calendar for the entire parish.
  5. Mark Dornoff reported on his exploratory investigation into stained glass windows for the church. Estimates ranged from $30K to $45K per side if the stained glass was simply attached to the existing windows. Replacing the entire frame would approximately double the estimates. The PC determined to bring in company representatives for a more accurate estimate. In the meantime, Mark would continue to search for alternative options.
  6. Pastor’s Report.
    a. Our new priest from India should arrive on or about the 23rd of January. Except for some painting, the new wall and doors installed in the rectory for added privacy are finished. We will address additional needs as they arise.
    b. The wall in the downstairs storage room has been moved, providing an additional fifteen feet of space. There is a need to try to organize decorative items stored there.
    c. The easement from the construction on Frogtown Rd. has been paid, amounting to $5000. In addition, the construction company will pour bases for the new parish signs.
    d. The parish Business Manager has received a job offer he couldn’t refuse, and is leaving. Advertising to fill the part-time position has already begun. All applicants are welcome.
  7. New Business
    a. Jim Sholar suggested that the chain post at the Frogtown entrance to the parking lot be painted or removed. No conclusion was reached.
    b. Jerry Beatrice brought up the need for a storage shed or barn on the church property. It could be used as storage for the tractor, the mower, and much of the decorative material now stored in the basement. He will look into costs, and what sizes are available.
  8. The meeting was closed with the Lord’s Prayer
  9. The next Parish Council meeting will be on February 20th at 7:15 pm in the parish center. Jim Sholar has volunteered to present the opening prayer. The executive committee will tentatively meet on February 6th.

PILLAR REPORTS

FINANCE COUNCIL MEETING MINUTES- Jan.10, 2007

Attendees:

The meeting was opened with prayer by Fr. Bolte.

Dan took us through the meeting notes from November. We also discussed some line item questions raised by an email sent in by Steve Senvisky.

Dan reported that collection for this Christmas was an increase of $11k over last Christmas. The logical reasoning for the increase was that Christmas last year fell on a Sunday and this year on a Monday.

We moved on to discuss the following other items:

  • Dan informed everyone that the signs were done and ready for installation.

  • Dan also mentioned that they were looking at potentially upgrading the server and maybe even the entire system because of age and intermittent operating issues.

  • There was discussion as well about installing lights from the plaza level of the church going down the steps to the lower lot.There is already wiring in place for lights.
  • One of the skylights in the commons areas in church is still leaking.
  • There was discussion as well about the possibility of paving the upper lot (where the old rectory used to be) and installing steps down to the church.

Fr. Bolte talked about the school and mass schedule survey that will be going out this week to all parishioners. Father also informed us that again this year we will have the largest DPAA target of any parish in the diocese with a target of $134,000.

According to Father Bolte the next church project that will be done with any excess DPAA funds will be to add stained glass in the church building

It appears that the small construction project in the rectory was for the most part finished except for painting.

Father informed us that the new priest is to arrive in Union on the 23rd of January.

Father also mentioned that some of the men in the parish want to build a garage on the property to store the tractor and other such items that are being stored in various places on the property.

We briefly discussed whether there would be any additional known financial impact with the addition of the new priest as well as any impact with Deacon Tom Nolan’s plans now that he has retired from his fulltime job.

The next finance council meeting will be on Wednesday February 7, 2007 at 8pm.


Worship Committee Minutes - January 17, 2007

Present: Fr. Bolte, Becky Herbert, Helen Baltz, Dale Foley, Larry & Pat Lense, Madeline Bond, Kelly Stuckenschneider and Michelle Alley

Helen started the meeting at 7 p.m. with a prayer.

Holy Day Collections
We need to be consistent and either take up a collection at each Holy day Mass or not at all.
Fr. said we usually don’t take one up during the daytime Masses but we do in the evening because that is when most people are here. Also we have ministers and greeters assigned at these Masses to take care of this. We could at least put a basket in the back of church during the day in case someone wants to use their Holy Day envelopes.

Stations of the Cross
Some people think our stations are too small. Madeline said there are wood carved stations up for bid at Marydale, she will check into it. If they could be up all the time, they would be available for adoration or after daily Mass. Last year during Lent the Stations were done at 7:30 after the Fish Frydays, that worked well so we’ll continue with this. Fr. will do them when he can and coordinate with Tom Nolan and Mike Keller to cover the times he can’t.

Quiet time after Communion
Some people have been asking about dimming the lights after Communion for quiet prayer for a few moments. This hasn’t been done since Fr. Ed Brodnick was here. It is not really appropriate as a quiet prayer time is not called for in the Mass at that point.

Hymn Numbers Display
Some have been asking about this as well. We don’t feel it’s necessary since Dale announces the Hymn number immediately before the song is played.

Confirmation Candidates
How can we encourage them to become active as Lectors, Eucharistic Ministers etc. What about giving out the information flyers we use for the Stewardship Fair in their classrooms a week or two after Confirmation. It would be right before the Stewardship Fair in April?

St. Blaise Feast day (blessing of throats)
The Feast day falls on Saturday, Feb. 3. Fr. would rather do anointing after all the Masses that weekend instead. Mass on Feb. 3 is at 4 p.m. due to the Men’s Chicken Dinner that evening.

Ash Wednesday Masses
There will be Masses at 6:30 am, 10 am and 7 pm. We have plenty of ashes. The bread distributors will do the distribution of Ashes as well. There will be a sign up sheet for the 7 pm Mass for Liturgical Ministers a few weeks before in the Sacristy.

Christmas Masses
4pm dangerously crowded. People brought chairs up from Brodnick Hall to sit in the Gathering Space and the rear of Church.
6 pm not very crowded at all
10 pm good crowd
9 am not as crowded as last year
11 am not crowded
(though neither Mass is full there are too many to eliminate either the 9 or 11)

The overcrowding at the 4 pm Mass and smaller crowd at 6 pm may be attributed to the Bengal game that was on then.
In the future we may want to lock the chairs up in Brodnick Hall to prevent the chairs being brought up. This is a violation of fire code for chairs to be used in the gathering space or back of church. We can have a few chairs in the sacristy for anyone handicapped etc. who really needs one. We should also do this for Easter Sunday Masses.

Lenten Penance Service
Our Lenten Communal Penance Service will be held on Tuesday, March 6 at 7 p.m.


Outreach Committee Meeting- January 18, 2007

• Meeting opened with prayer at 7:00 p.m.
• Attendance (16): Charlene Melihercik, Sue Helmer, Mark Helmer, Joe Campbell, Jim Sholar, Paul Barth, Jean Sens, Carol Harvey, Jerry Beatrice, Geri Herbert, Marty Herbert, Sharon Ryan, Crystal Pohlman, John Benton, Lesley Duggan
• Crystal Pohlman gave a report on the upcoming Cemetery of Innocent which will be displayed January 27- Feb. 4. Parishioners will be asked to help place 4,000 white crosses after all Masses this weekend. Volunteers are still needed following the 11 Mass to guide people through the cemetery to maintain order and prevent injury.
• 2007 Grant calendar was given to all present. Region assignments were also determined for the grant service projects. The following region ministers volunteered to coordinate the following grant months:
o February – Region 6 Geri & Marty Herbert
o April – Region 7 – Jerry Beatrice
o May – Region 1 – Joe Campbell
o July – Region 8 – Jenny Benton
o September – Region 4 – Sharon Ryan
o November – Region 5 – Annette Stambaugh (assigned)
Proposed service projects and dates were discussed. Region ministers will contact the grant recipient to schedule a meeting to see the facility, discuss the project, the date, and any needs associated with it. Lesley requested to be included in the meeting.
A grant recipient representative will be scheduled to speak at all Masses one weekend during the grant month to promote awareness about their particular grant project. This needs to be scheduled early in the month for early awareness of parish tithing which funds the grant.
• HOSEA House – Suggestion for generating parish involvement Some concerns discussed included whether or not there should be a new menu each month – one suggestion was having the same menu for the entire year or for the first half of the year and something different the second half; another concern was should HOSEA House be open to the entire parish or include only people within each region. Lesley pointed out that of the 11 months we service HOSEA House, only 2 months are coordinated by Outreach region ministers and the Outreach Committee. The remaining 9 months are coordinated by others not affiliated with Outreach including the Youth Ministry and possibly the Men’s Group who may take on coordination for August. While the parish’s ministry with HOSEA House began with the Outreach Committee, Lesley suggested that HOSEA House become its own entity – Ministry. There doesn’t seem to be a need for the Outreach committee to discuss monthly HOSEA House when so few of the committee members are involved with its planning. Lesley will meet with the eleven HOSEA House coordinators to discuss the new procedures and move forward from there.
• Grant Co. shelving project: It was noted when delivering the Thanksgiving drive donations to Gallatin Co. that more shelving was needed. Faye was very open to the idea of this project. Mark Helmer volunteered to oversee this project. He will contact Faye in early March to discuss her needs and plan from there.
• Keller Project: Lesley shared with the group the new Mentor Ministry developed by Mike Keller as one of his decon projects. The ministry’s purpose is facilitate to our brothers and sisters as they face challenges and offer guidance to help them live in a more effective and satisfying manner to themselves. Such guidance can be in the form of agency referrals who can help with needs, help with goal setting, follow-up calls, spiritual support. No financial support is provided. The current team of mentors consists of three couples who have gone through several hours of training with key members of Welcome House.
• Ted and Mona Lewis will return to the states some time in March/April. Charlene shared their work with children developing a school for the “throw away” children. While some parishioners have sent a few boxes of teaching supplies, a copier and a reading program would greatly support their efforts in a much better way. An article in the Feb. Companion will feature their efforts and ask for monetary donations to support the international outreach.
• Mission Trip: An informational mission trip meeting will take place Sunday, January 28 in Brodnick Hall, 6-7:30 p.m. It is open to the parish and anyone wanting to learn how to get involved.
• Next IHN commitment is Tuesday, Feb. 13 – We have two committed overnight hosts but need to build the volunteer base to avoid burnout.
• A handout was given to all present with the Christmas Outreach overview of the Giving Trees and Alternative Christmas. Both were very successful.
• Next HONK commitment – January 27. Details will be sent out by Jim Sholar.
• Poverty Simulation presented by Northern Kentucky Community Action Center will occur sometime in the spring. Jennifer Belisle, Director of Community Services, will be a guest speaker at our Feb. 15th meeting.
• New Parishioners’ Meeting will take place the last Sunday of each month. Jim gave a brief overview. Someone from Outreach should be available to answer questions. Lesley will be at January’s meeting. A sign up sheet will be available at our Feb. meeting for others interested in attending future New Parishioner meetings.
• A volunteer furniture coordinator is needed to be the contact person to make arrangements for requested items for City Heights/Gallatin Co..This would consist of scheduling pick-up with the transportation volunteers, donators, Sister Ellen and Faye Allen.
• Lesley shared the idea of an Outreach Planning/Brainstorming day similar to the Parish planning day. The purpose would be to discuss outreach ideas as well as the structure of the Outreach committee. One idea is to schedule a monthly tour of a local nonprofit agency, such as those who applied for our grant program but were not selected. The tours would be scheduled during our Diocesan collection months. All present were in favor of the idea. Lesley will consult the parish calendar for a possible date and get back with the committee.

Formation Pillar Report for Parish Council – January 07

Sunday Morning Youth
Nursery is going great. Still some issues regarding use of the room by other groups and messes or damage left behind. Considering some options on how to track who is using the room and who is not cleaning up.
Terrific Two’s is running, also. AND we’ve enrolled all the children from the waiting list. Some of the students already enrolled were not attending regularly, so Deb Thomas contacted those parents. If they indicated that they wouldn’t be able to regularly attend, she suggested they give up their spot to someone on the waiting list. Worked out that we were able to clear the list.

PSR
Confirmation Retreat went very well. After some issues with challenging behavior during class on the part of some students, behavior during the retreat was a concern. Father wrote a letter to the parents regarding this issue, and behavior was exemplary. The Sacrament of Confirmation is Feb 1.
An additional Mass has been scheduled for 1st Communion due to the number of students receiving the sacrament this year. Letters are going out to parents this week.

STYM
There will be a mission trip information meeting on Sunday evening, January 28, from 6 to 7:30 pm in Brodnick Hall. This will be in place of the usual STYM gathering. There seems to be a lot of interest in going, not only among the STYM kids, but families in the parish. Several families have approached Charlotte Boemker for more information. Cost will be approximately $300 per participant, so there is a great need for fundraising to help defray this expense. Help from Parish Council in suggesting and/or implementing fundraising possibilities within different parish groups would be appreciated.

Adult Faith Formation
“Theology on Tap” has become “Tapping into Theology,” to avoid a copyright infringement problem. This month we had Sr. Pat Brockman on both the 8th and the 15th. The turnout for her presentations on the Spirituality of Dreams was great. 45-50 people attended each. Next month we have Sr. Barbara Fiand talking about Creations Spirituality. Date is February 12. This will also be a required parent Yahweh Café night for the 7th and 8th grade parents.

Though Dottie Due is leaving her paid position here, she will continue to offer Come Saturday Morning once each season. Additionally she will continue her Centering Prayer group on Wednesday mornings. She will volunteer in other areas, as well. Her home visiting ministry will be continued with parish volunteers. She will offer several training classes in February. Days and times will be in the bulletin.

Lenten Small Group signups will begin at the end of January. Our Parish Mission will be held April 21-25. It will need lots of PR.
