St. Timothy Pastoral Council Minutes
December 1, 2009

 

PRESENT: Fr Rick Bolte, Fr Jacob Varghese, Al Kovacic, Rick Harvey, Rick Allgeier, Meghan Green, Bernadette Murphy, Karen Riegler, Mark Deis, Jim Lockhart, Phillip Sheehy, and Kathleen Thompson.

Phil Sheehy opened the meeting in prayer. November minutes were approved upon motion by Mark Deis and second by Rick Allgeier.

  1. Pillar Reports

A.  Finance Committee report - presented by Jim Lockhart.
Oktoberfest netted close to $60, 000.  Because we are debt free approximately $100,000 is now in savings for capitol expenditures.

  1. Pastor’s Report
    Fr Rick stated that one new lavaliere microphone was purchased. While the old one did not work properly in the church it seems to operate without interference in Brodnick Hall.  
    He reaffirmed Meghan’s report on the organ. 
    Other matters concerning the Eucharistic Chapel and the architect are still pending further information from the diocese.

PILLAR REPORTS


Worship Report
Worship Committee Minutes: November 11, 2009

Present: Father Bolte, Father Jacob, Chuck Melville, Katie Barton, Dolly Holzwarth, Pam Jacobs, Ric Bernedsen, Meghan Green, Darlene Lageman, Irma Albanese, Kelly Stuckenschneider, and Mary Anne Kordenbrock.

  • Father Bolte reported that a good group of young people attended the Servers Camp on October 31.

  • Father said that he offered St. Timothy Church for a Holy Hour for Respect Life for our area on January 22.

  • Music Ministry
    Katie reported that the wireless microphones have not been working properly and that some parishioners have said how distracting it is during Mass. Mainly the deacon’s microphone (micro #2) has interference. In addition, the volume for the Gathering Space isn’t working sometimes, in part because the controls get moved out of position. But Katie said even when the controls are adjusted, it’s still not working the way it should. She will set the controls and make them permanent, however, the system needs to be checked. Father Jacob added that the microphone in Brodnick Hall is also troublesome, but is more the result of a reception problem and not related to the difficulties experienced upstairs.Father Bolte will contact American Sound to see how these issues can be resolved.

  • Katie reported that a Louisville music company is willing to offer a Johannus digital organ for St. Timothy’s to use during Christmas time—December 11 thru the first week in January—at no cost in order to showcase their instrument. It’s a 9-channel organ that has nine speakers. Representatives from the company would set up the entire system for us. Katie would use the organ to demonstrate its sound relative to piano for liturgical music and suggested scheduling an organ concert to show the different ways it could be used in our worship space. Committee members were interested and a short discussion followed. Since we have never had organ music in our new church building, all thought it would be a good idea to take advantage of the opportunity.
    Father Bolte said a vote should be taken to show the Worship Committee is in favor of this trial offer. Irma made a motion to temporarily have the organ installed to evaluate it’s sound and the overall parish opinion of organ music for liturgical services. Pam seconded the motion. The vote was unanimous to accept the offer. Katie will contact the company with our decision.

  • Art and Environment
    Kelly said that she would run bulletin announcements again this year for those who would like to make a donation for poinsettias in memory/honor of loved ones. She will also include a request for a large Christmas tree for the Gathering Space.

    Kelly offered to help with fixtures that may be needed for the speakers when the organ is installed in December.

  • The live Nativity still plans to be here on St. Timothy grounds this year.
    The stable for the traveling Nativity set is broken and needs to be repaired if we are to use it again.

  • Pam reported that the Advent wreaths are on the way. However, the November 22 date had to be changed because of a conflict with the second graders first Reconciliation. The new date is Monday November 23 at 7 p.m. Last time 125-150 attended to make Advent wreaths. The cost this year will be $10 which includes the wreath, bows, candles, and brass candle holders. Bulletin announcements will ask for pre-registration to insure sufficient supplies.

  • We discussed the celebration for our parish patron, St. Timothy, whose feast day is January 26. It was decided to hold the event on Sunday, January 31. Father Bolte will have a presentation about the life of St. Timothy. Because St. Timothy was Greek, it was decided to serve Greek pastries and appetizers along with coffee and tea,--and call it “Tea with Tim.” Dolly, Darlene, and Mary Anne will work on the details for this event.

  • Chuck reported on the progress of the committee working on the by-laws. He said his committee used the by-laws from Holy Spirit parish as a guide and combined that with some language from our parish directory. The goal was to produce a document that directs the work of the Worship Committee but does not constrain it with too many specifics such as the date of the meeting and making amendments. Father Bolte suggested adding a specific process for those who may wish to address the committee about any topic or controversy. Chuck agreed to adjust the wording to address this and bring the new version to the next meeting.

  • Dolly said we would have the little Advent books to distribute again this year.

  • Darlene asked if we could supply hand sanitizer at the credence table for Eucharistic Ministers to use before and after communion. Father Bolte said it could be used and all agreed to make it available.

  • Dolly reminded us that a meeting is not held in either December or January and asked the committee’s preference. Since all arrangements are made for Advent and Christmas, all agreed to hold our next meeting in January to begin planning for Lent. The next meeting will be on Wednesday, January 13, 2010.


Outreach Report

 

Outreach Committee Minutes: November 19
Attendance: Sue & Mark Helmer, Marty & Geri Herbert, Lois & Paul Melihercik, Lois Lambers, Bernadette Murphy, Barbara & Mike Johnson, Korri Iracondo, Carol Harvey, Rosalie Hentz, Lesley Duggan

  • Giving Trees – This year we have 32 families from Gallatin Co. and 3 in parish. 281 gift tags were made at the meeting and 60 Walmart gift card tags.
    Distribution weekend will be 28-29th. Return date for gifts will be the following weekend. Sorting will be December 9th-regular meeting night- in the Youth Room. It will be our Christmas Party/Dinner. Delivery has been changed to Tuesday, December 15th after the 8:00 a.m. Mass. Will try to get 2 work shifts for the day, an afternoon shift 3:30-5:30 to help transport leftover food and remaining gifts to the CAC office.

  • Alternative Christmas – Sunday, December 6.

  • Thanksgiving collection went very well. It was wonderful to have the space of Brodnick Hall. We had an increase of donations by nearly 1,000 items which equated to 60 additional cases of food over last year.

  • November Grant Project with Shoulder to Shoulder went very well. 50 St. Tim volunteers attended helped distribute food, clothing, diapers, household items and furniture on the corner of Brighton St. and 7th St. in Newport. Trey Nix and a few teenage boys carried a couch 5 blocks to a house. There was a lot of positive feedback regarding the work that was done.

  • The Grant Committee selected the following organizations as our 2010 grant recipients:
    Emergency Cold Shelter of NKY
    Brighten Recovery Center for Women, Florence
    Baptist Convalescent Center
    Florence Lions Club Charities, Inc.
    Notre Dame Urban Education Center
    Be Concerned, Inc.


Formation Report

 

Adult Faith Formation Meeting: November 16, 2009

Present: Faye Gosney Ric Berndsen, Pat Rigney, Bernadette Murphy, Pat TenBrink, Kathleen Thompson, Joan Klahr, Jenny Benson, Fr. Jacob

  • Living Marriage Grace-Fully: The meeting was opened with discussion on Marriage Enrichment Event. All members felt that it was a success. It was mentioned if we had a second Event like this that we need to have someone cut off the speakers if they were talking to long. If a second Event is planned all felt three speakers would be plenty. Committee members felt that the setup and cleanup time went very well. Thank you to the Youth Group for their help with this Event. Pat R got a tape of the Event and was very disappointed with it. It was done in very poor quality. She had a hard time seeing it. Fr. Jacob thought more people should have been there. The committee felt that there would be more people next time. Word of mouth would bring in more people. Committee agreed to try this Event again in 2 years.  Jenny said when a flyer is made please include everything. Some couples were asked to bring photos of their marriage and some were never asked.

    Kathleen brought up Constant Contact should be used next time. Faye said that the e-mails in Constant Contact were from all over. Pat T. said that a list could be done with just the members of St. Tim’s. Faye said there were three lists already. Kathleen asked that one be made for just the members of St. Tim’s. Faye will check with Kay on a list for St. Tim’s members only.

    Finances: Faye said that $983.00 was collected for this Event. 29 couples attended the Event. Pat T. said that $1220.00 was paid out. StoneBrook Winery will donate back $252.00 to the church. This is money that the committee paid for the wine that was given to each couple. Pat T. asked that part of the donation money should be given to the Youth Group. Kathleen said that the Youth Group is going to Washington, DC for the Right to Life March and they could use the money. Kathleen asked that 150.00 be given to the youth. Faye and the committee agreed. Faye said the rest of the money should go into the committee fund for future Events.

  • Tapping into Theology: Fr. Jacob’s talk on religions in India was a success. We had 43 people attend. Pat R. thought we should give Fr. Jacob the$78 donation money. Fr. Jacob said that he did not want the money. He was glad to do it. Faye said that it should go into the committee fund to pay for the snacks, beer and wine.

  • Stations of the Crib
    Kathleen asked that when we have an Event that calls for music to please get with Katie Barton. She is checking to see if Katie is busy on the 5th of December for the Stations of the Crib. If she is busy Kathleen will check with Ross.

    Kathleen and Jenny are getting the people for the play. Kathleen said that she will have one practice. Joan said that they had two or three last year. Kathleen has time for one. Faye asked Jenny and Kathleen to let the members of the play know to sit at tables 1 &2 so they can eat first. We will reserve these two tables for them.

    This will be a potluck dinner. Pat R. is checking with Jennifer on the Hot Dogs and BBQ. Pat R. has the figures of what was used from last year. Faye will get with Colleen Hegge to see if she can help with the dinner setup while the committee goes to mass.

    Pat R’s. husband made 25 wooden mangers. Pat R. asked that Ken’s name be put on the program. Pat R. also asked that we keep the mangers for future use and give them away. Jenny will bring in some greenery and hay for the mangers. This will be the centerpieces for the tables.

    Faye said to get what ever we needed for the Event and put in a check request to get paid back.

    Advertisements will be in the Messenger, Companion, and will be sent to other churches. Flyers will go home with SPS, PSR, Preschool and Kindergarten classes. It will be sent out by Constant Contact twice.

  • Priest Appreciation Dinner: This will be a Potluck Dinner. Joan said that tablecloths and a small center piece would be enough. We will have a special table for the priest. It was mentioned that we should invite Fr. Bolte’s family. Fr. Jacob said that maybe we should invite the local Priest with Fr. Bolte’s permission. Fr. Jacob also said it might be nice to invite the former Priest of St. Tim’s. Jenny and Joan will work on the decorations. More will be discussed at the next meeting.

  • Fr. Judie: Committee decided to discuss this at a later meeting.

  • Committee members will think of people to bring into this committee that could give us some new ideas and have their talents put to good use.  Committee members will also bring ideas for future Events.

  • NEXT MEETING will be on Monday December 14, 2009 at 7pm in room 6


Youth Ministry

  • The youth ministry is continuing to be blessed!! Our numbers continue to grow as we had 43 students the 22. In the past we usually see a decline in numbers but…this year it has been the opposite. It seems the students are really evangelizing their environments and bringing their friends. I believe we are the only youth ministry in the diocese that draws from 9 local high schools on a weekly basis. These schools include St. Henry, Covington Latin, Walton Verona, Ryle, Covington Catholic, Notre Dame, Boone, Cooper and occasionally Conner & Holy Cross.

  • Our day retreat went well, a special thanks to Kathleen Thompson for lending her expertise in this area!!

  • December is a slow month with the holiday for youth ministry. The students had a lesson on advent the end of November, the 13 will be the annual Christmas party, they will be helping to decorate the gathering space on the 20 as our meeting night.

  • Still trying to work out all the details for the March for Life.


Preschool and Kindergarten

  • Recruiting Efforts:
    At the beginning of November we were invited to participate in St. Paul’s Open House for New Families. As expected, there were a few St. Timothy Parents of four year old children who were trying to decide where to send their children for kindergarten. It was overwhelming to hear parents who want to send their children to St. Timothy’s Kindergarten, but worry about the fact that we do not offer a first grade.  The next week there was an Open House at St. Timothy for preschool and kindergarten, as well as St. Paul K-8. We had approximately 20 families interested in the preschool and approximately 6 families who were interested in the kindergarten program. Parents again were inquiring about the future school efforts of St. Timothy and they were encouraged to speak with Fr. Rick or a pastoral council member regarding their questions, concerns and needs. While we do have families who have said that they are planning to send their children to our kindergarten, it seems to continue to be a struggle to convince parents that our kindergarten is still a viable option for their child.

    We continue to work with St. Paul in joint recruiting efforts. Mailings seem to be their preferred form of recruiting. Last year and this year we have participated in their mailings, however, St. Timothy would like to look at some alternatives as mailings are expensive and did not seem to be an effective tool.

    Upcoming recruiting:
    Parent / Teacher Testimonials in the December Companion
    Recruiting Packets will be sent home with all students following Christmas Break
    Letter from current kindergarten parent will be sent with all current 4 year olds
    Parents of perspective kindergarten parents will be invited to visit the classroom and observe
    Continued weekly pleas for pictures and info in the Messenger
    Continued weekly photo requests to the Enquirer (4 pictures published so far)
    Tours will begin after Thanksgiving. Several are already scheduled
    2nd Week of January a family of both a preschooler and kindergartener will speak at the end of each mass
    Beginning after Christmas, a preschool staff member will be in the gathering space with brochures and a display of preschool and kindergarten info and pictures
    A current family has offered their telephone number to be distributed to all interested kindergarten families so that they are able to ask questions—Parent to Parent
    Following each preschool and kindergarten tour, Deb will call each family as a follow up and as an opportunity for them to ask any additional questions
     

  • Outreach Commitment:
    Each month the kindergarten and preschool families participate in an outreach drive which benefits City Heights. This past month we collect 30 baskets of food.
    We fulfilled a request by the Make a Wish Foundation to send Christmas cards to a little boy who was expected to die before Christmas from cancer.
    This month we will be monitoring the outreach commitment of each family. When families register for kindergarten and preschool they commit to completing 20 hours of in-service (10 each semester).
    December’s outreach project will be stocking stuffers of toothpaste, tooth brushes, and dental floss for City Heights
    We will also be making Christmas Cards for some nursing home residents (delivered by Fr. Rick’s dad) and for shut-ins of St. Timothy Parish

  • Kindergarten teacher, Joyce Bishop, will be meeting in January with the preschool staff to conduct an in-service on reading techniques and development in efforts to align our preschool and kindergarten curriculum.

  • Christmas Program will be on December 17th at 6:30pm in the church. Preschool and kindergarten will be singing at one program. Following the kindergarten program the families have been invited to attend the Live Nativity.

  • The families of the preschool and kindergarten sent in their favorite recipes to share. We will be selling our cookbook to parish families on the weekend of December 16.

  • Registration
    Preschool In-Parish Registration will be on Jan.23 from 9am-noon
    Preschool Community Registration will be on Jan.30 from 9am-noon
    Kindergarten Registration at St. Paul will be on Feb.4 from 5:30-8:00 pm.
    Kindergarten Registration at St. Timothy will be on Feb.6 from 9am-noon


Community Report

  • Holiday Shop Night on Nov.19 was deemed a great success; we had 35 vendors that donated for the dinner dance—a huge help! We had around 170 shoppers and the vendors seemed happy with that number, hopefully it will continue to grow.

  • Dinner Dance: Saturday, February 13 in Brodnick Hall. Donations for auction items are now being accepted. Tuscany theme; Jennifer has total confidence in the decoration committee to transform Brodnick Hall and make it look fabulous. Because of the location, ticket prices will be lowered.  We are still working out the pricing and what is included for the ticket sales for the dinner dance. Waiting to hear back from the ABC about the possibility of a one day liquor license before we make a final decision.

  • Breakfast with Santa: Dec.6

  • Wine tasting: Dec.7  Wine tasting numbers are down —current estimate is 70 attendee; likely because of the time of year. Theme of the evening is West Coast Swing;California wines and a dancing demonstration/ lesson by Doreen Beatrice.

The Finance Council met on November 18, 2009.

The October 2009 results were reviewed.
July-October Summary
Total income/receipts were $ 5,470 or 0.6% over budget.
Total disbursements were $ 74,578 or 10.4% under budget.


Council will continue to monitor contributions relative to the budget. Answers to the recommendations of the audit were reviewed and were deemed appropriate.
