St. Timothy Pastoral Council Minutes
February 3, 2010

PRESENT: Fr Rick, Fr Jacob, Al, Kovacic, Rick Harvey, Rick Allgeier, Meghan Green, Bernadette Murphy, Karen Riegler, Jim Lockhart, Deb Thomas, and Kathleen Thompson. ABSENT: Mark Deis and Phil Sheehey

Rick Harvey opened the meeting in prayer.

A motion was made by Rick Allgeier and seconded by Karen Riegler for the December minutes to be approved as presented. The motion carried.

  1. Pillar Reports

A.  Finance Committee report - presented by Jim Lockhart.
Because of good management, we have stayed in a sound financial situation. For the time of July through December income/receipts were .65% over budget while disbursements have been 8.21% under budget. Those who made a pledge for the offertory program have fallen slightly short, while families who did not pledge, have put us slightly over the budget. Because the amount due to the Diocese will be based on 2008 collections, the amount to be paid each month to the diocese will increase. The amount due each month will be $5,737.

F.  Children's Education -
An update on the preschool and kindergarten programs was given by Deb Thomas, Director. There has been an even bigger push for recruitment this year. There has been an Open House at St Tim’s as well as one at St Paul’s, which Deb attended. It is important that parents know that there is cooperation and communication between the two schools. Offering preregistration for the current four year olds has gotten kindergarten enrollment off to a good start. Because St Tim’s kindergarten and one 4 year olds’ class is in the afternoon, a 3 years old program was being requested by parents. The biggest concern at the moment is parental concern that St Tim’s has no current plan to go beyond kindergarten. Deb hopes this does not stymie growth.

G.  Community report - presented by Rick Harvey

  1. Pastor’s Report

    DPAA: Fr. Rick encouraged us in brainstorming for items to become associated with DPAA 2010.  Items suggested and discussed were:  a much needed storage shed; Stations of the Cross for either the interior of the church or outdoor stations up on the hill; and an organ.  Considerable discussion followed including Father refreshing all of the council on the workings of DPAA.  St Tim’s contribution will increase by $16,000 this year. Only the amount of money raised beyond our goal will be available for use by the parish. The consensus of the council and Father Rick was that this is still just not the right time to consider an organ.  Rick Harvey will contact Jerry Beatrice and Lesley Duggan about previous information and proposals gathered concerning a storage shed.  Kathleen Thompson will speak with Kelly Stuckenschneider concerning enhancing the worship space.

     

    Building: Fr Rick has recently notified the members of the Building committee that at the present time we are waiting for the contract between St Tim’s and Rick Wolnitzek, architect, to be completed by an attorney for the diocese. They will resume meeting upon this being completed.


    Bishop Foys Visit: The council was reminded that we may be asked to come to a meeting with Bishop Foys during his visit to the parish March 6-8.   As soon as Fr Rick knows a time he will notify those involved.

     

Bernadette Murphy offered to give the opening prayer and Rick Allgeier the closing prayer at the March 3 meeting. Karen Riegler offered the closing prayer and the meeting adjourned at 8:30PM.

PILLAR REPORTS


Worship Report


Worship Committee Meeting: Jan.13, 2010
Present: Father Bolte, Father Jacob, Chuck Melville, Katie Barton, Dolly Holzwarth, Pam Jacobs, Meghan Green, Darlene Lageman, Becky Herbert, Kelly Stuckenschneider, Michelle Alley and Mary Anne Kordenbrock.

  • Music & Sound System
    New wireless mic and the other one was repaired. There is a hissing sound but American Sound said that it is normal. Katie will call them again. The mics are much improved and the Brodnick Hall mic was replaced.

    The Organ has received positive feedback from most people, at first people complained that they couldn’t hear the choir over the Organ and that the speakers are not attractive where they are but they would not be there permanently. It will be picked up by the end of January.

    The CD player isn’t working, John Danahy will check on it.

    NAPM will host a Webinar on February 11th. Fr. Paul Turner will talk about the upcoming changes to the Mass. Cost is $25 to join in on the Web.

    Katie would like to do a Lenten CD of instrumental music and Lenten relflections tied to the Stations of the Cross. Similar to the CD’s Fr. Witte did. John Danahy helped him with those so Katie will speak to him about getting this done for Lent.

  • Feast of St Blaise: Wed. Feb.3: Blessing of Throats at 6:30 and 8 am Masses.

  • Anointing of the Sick: after all Masses the weekend of Feb. 13/14.

  • Advent Wreaths
    11 people showed up to make advent wreaths. There was plenty of help from the St. Henry students. Carol Harvey stored all the left over materials and information for next year in the closet off Brodnick Hall.

  • Diocesan Training of Lectors and Eucharistic Ministers
    The new program of appointed Lectors and Eucharistic Ministers will be implemented by Advent. Three areas of training: Theology, General and In- Parish detailed training. We may not need to do the in-parish training for current Ministers.

  • Bylaws
    Chuck and the sub-committee made the proposed changes to the Bylaws.
    We need to vote on the new Bylaws at our next meeting.
    When they are approved, a signed copy should be kept for archives.

  • January 22 – Day of Prayer and Penance for Roe v Wade
    Adoration will run from 10:30 am Friday til 4 pm Saturday.
    A holy hour will be held from 7-8 pm on Friday.

  • Tea With Tim
    January 31 at 2:30 pm in the Church
    Food has been ordered (528 pieces of dessert) Another article will be in the bulletin asking people to RSVP if they plan to attend. Fr. Bolte will do a presentation about St. Timothy and our parish, Katie will provide music.

  • Bishop Foys Visit
    The Bishop will be at St. Timothy’s March 6-8. He may want to meet with the Worship Committee. Fr. will find out.

  • Census has been delayed.

  • Lent
    Kay will order the little black Lenten Books.

    Lenten Small Groups: Some people were disappointed last year that there were no Lenten Small Groups Organized. We should put a bulletin article asking if anyone would like to organize it for this year. Michelle will do this.

    Ash Wednesday Masses
    Masses will be 6:30 & 10 am, 5:30 & 7 pm
    Michelle will have signup sheets for Liturgical Ministers.

    Fish Frydays and Stations begin on February 19th.
    Stations are at 7:30 pm and it would be nice to have music for them.

    Lenten Penance Service
    Tuesday, March 16 at 7 pm; PSR March 10 6:30 pm

    Lenten Hymnal Inserts
    No Lenten inserts this year but Advent inserts need to be removed and saved.

  • Holy Week
    Palm Sunday: The Paschal Candle is ordered and Palms are on a standing order.2 weeks before Palm Sunday announce that people may bring in their old Palms.

    Holy Thursday
    Do we have enough towels for foot washing? Each Pillar Head should get 2 people to have their foot washed.

    Seder Meal
    Who will organize the food? The rituals? Bring information from last year to next meeting. Michelle will check with Jennifer about the food.

    Holy Saturday
    Bunnyfest is at 9 am
    RCIA rehearsal is at 10 am.

  • The next meeting will be on Wednesday, February 10, 2010.


Outreach Report

 

Outreach Committee: no written meeting minutes.

 

The Outreach committee spent time reviewing the projects held in November and December. In spite of the economy some areas showed growth and, none were in decline. The committee, which plans and prepares meals for those in need within the parish, has grown to 100 participants. There is a subcommittee, headed up by Jim Sholar, which is still providing home improvements to a family, who was first served during the NO PLACE LIKE HOME Mission Trip. Thanks go out to them for continuing to bless this family.


Formation Report

ADULT FAITH FORMATION MEETING
Wednesday January 13, 2010

Present: Ric Berndsen, Pat Rigney, Bernadette Murphy, Pat TenBrink, Deacon Mike Keller, Joan Klahr, Phill Aller

  • Stations of the Crib
    The committee agreed that this was a big success. Kathleen did a great job with putting the play together. She even put a sheet together on what needs to be done each time we put this on.

    Pat R brought up that maybe we should change this up a little bit maybe we can try a Sunday after the 11:30 Mass. This way we might get some of the people who never go to 4:30 Mass. We will check to see how the Tea with Tim goes on a Sunday afternoon. This could give us an idea if Sunday could work. We had about 125 to 150 attend on Saturday night.

    A special thanks to Colleen Hegge and her group for helping out. All leftovers went to City Heights.

  • Priest Appreciation Dinner
    We have had to postpone this due to not being able to get a date.

    The Adult Faith Formation Committee will look into having a special dinner for Fr Bolte and Fr Jacob at Pat Rigney’s home. Pat R thought this would be a great thing to do. Pat R and Joan are going to get with Fr Rick and have him give them some dates in April or May of when he is available.  More about this will be discussed at the next meeting

  • Fr. Judie
    The committee agreed to have a free will offering instead of charging $15.00. The committee also has changed the title from the Lenten Mini Retreat to A Day of Reflection.
    Committee members will bring in breakfast items to have before we start the day. Juice, coffee, and bagels will be supplied by the Adult Faith Formation.

    We will get with Kathleen to see if she has a bio and the topic that Fr. Judie will be talking about. We also would like to find out what we need to pay him. We need to find out if Kathleen has a short video to put in the kiosk to help with the advertising for Fr Judie. We will ask Kathleen if she can give a 2 minute talk after all the masses on Sunday about Fr. Judie.

    At the meeting on Feb.24 we will all bring some advertising to put on the restroom doors, church doors, on an easel on the bar for coffee and donuts after the masses and any other place the committee comes up with.

  • Lenten Prayer Group
    The committee agreed to have the Centering Prayer Group sponsor the Contemplative Prayer Meetings for Lent. Pat T. has gotten with Sr. Micki about some material that could be used. Pat T. will check into running an ad in the bulletin and get with Jeanette Bolin and Kay Schuele about advertisement in the Messenger and the Companion. The committee agreed to have Pat T. be the contact for this event. Pat T. will also check with Jennifer about having the hall for the meetings. The committee agreed to have a meeting for registration and get input from the people who want to attend on which they would prefer to have a big group or small groups. This will take place on February 8in Brodnick Hall at 7pm.

  • Next Meetings: Committee members will bring ideas for future Events.
    We will discuss running an ad to bring in new people to out group. This was brought up by Mike.

Youth Ministry

  • Our numbers are holding strong in the low 30’s. We average 30-38 on any given night. This is really exciting, usually this is the time of year when the numbers drop. I have to say that the reason is largely due to the students!! The ministry has taken on a life of its own and the students are evangelizing their environments! Yes students at this age want to live out their faith.

  • Dec & Jan we focused our STYM nights on morality and abortion.

  • Jan 21 we went on the March for Life. It was a really great time and we had no transportation problems. We had the largest group on the youth ministry bus with 13 students. Hopefully next year we will get two buses as I had 4 students on a waiting list.

  • March will be our first over night retreat at Potter’s ranch.

  • We will be working 3 of the fish frydaysto begin fund raising. Keep in mind that all funds raised go to the mission week which is a youth/parish event. Our numbers are 50/50 with youth and adults. No money funds the youth ministry!! I have been working with Lesley and Father to plan our international mission trip. We are looking at Haiti but realize that time will tell if this is a feasible trip or not. If not we are looking at Belize or Jamaica. Lesley and I will start planning the local mission trip in the next few weeks.


Preschool and Kindergarten

  • Kindergarten Registration:
    This year, we decided to host a kindergarten registration for our existing four year old students. We wanted to give them the first chance at the kindergarten spots versus combining them with the parish. This was a great advantage for us and gave us an opportunity to discuss options with families that we have worked with for the past two years. We currently have 28 kindergarten students registered for the 2010-2011 school year. Please remember, this is the registration process, not acceptance. After the registration at St. Paul and the In-Parish registration here at St. Timothy, we will have a basis for deciding whether we will have one or two kindergarten classes. Any students who we are unable to accommodate will be referred to St. Paul School. We have been pleasantly surprised with the pre-registration for our existing four year olds. We used several forms of recruiting and perhaps our best is our preschool program.

  • Registration at St. Paul for grades K-8 will be this Thursday, February 4 from 5:30 pm to 8:00pm. I will go to represent St. Timothy and to accept any registrations for our kindergarten program. Registration for St. Timothy Kindergarten will be here on Saturday, February 6. Representative from St. Paul will be here to continue their registration process for grades K-8.

    Preschool Registration: On January 4, we began the registration process for the 2010-2011 school year (for our existing students and siblings). For the second year in a row, we have 100% of our three year olds returning for the four year old program. January 23 was our in-parish preschool registration and January 30 was our community registration. Both registrations were down in attendance. Many have told me that in these economic times, it has been hard to recruit for a program that is necessary, but not a requirement for kindergarten.

  • I will continue with recruiting efforts and will possibly open another registration opportunity in early spring. I have contacted several local newspapers and will be placing ads within the next few weeks.

  • I will also be meeting with Fr. Rick, Leigh Ann and Mark Anderson (Finance Council Representative) regarding a tuition discount for siblings. We are one of the only preschools who do not offer a family benefit for multiple children.

  • Currently our preschool numbers are as follows:
    3 year old program: 42 students Last year’s enrollment: 48
    4 year old program: 58 students Last year’s enrollment: 70

  • Outreach Commitment:
    We have begun our monitoring process of the 20 hour commitment to outreach. The majority of families have exceeded the hour requirement. We will be representing the family hours in the preschool hallway within the next few weeks.

    We continue to work with Sister Ellen and the City Heights Community. This month we collected dental care items. Our collections we down compared to previous months. Next month, we will be making valentines for the seminarians and for local nursing home residents.

  • In March the preschool teachers and our kindergarten teacher, Joyce Bishop, will be participating in our curriculum alignment. We will evaluate the effectiveness of our curriculum in relation to the kindergarten curriculum. This should be very beneficial for our teaching staff.


Community

  • Fish Fry’s – begin Feb 19
    Preparations are moving along. Menu changes discussed and planned this year include addition baked potato as an option instead of French fires and the choice of adding a green salad for a $1.00 charge. Sign up sheets are in the gathering space. Encourage people to support through volunteering or attending.

  • Dinner Dance— Feb 13
    Planning continues and decorations committee is busy creating the ‘mood’
    Reservations are good, response overall to having it here have been good….we will just have to see how it goes. We are obtaining a temporary liquor license to sell mixed drinks.
