St. Timothy Parish Council Minutes
November 15, 2005

  1. Opening prayer offered by Marin Smith: Luke 19:1-10.
  2. Approval of minutes:
    October minutes approved with correction of Joe Meiman being present at the meeting. Rick Hoban motioned to approve as corrected. Mark Dornhoff seconded.
  3. Oktoberfest Financial Report:
    Jennifer Fedders and Scott Knopf reported the financial outcome as of the present comparing 2005 with 2004. Profits for 2005 are $54,089.00 with profits for 2004 of $56,603.00. Total weekend deposit for 2005 - $68,707.00 and 2004 – $83,044.00. Income was a little less than 2004 but continues to be a good revenue generator. The major difference was the raffle of the car for 2005. 564 tickets were sold for the Cadillac in 2004 and 310 tickets were sold in 2005. May go back to a higher range car for 2006. Mary Brzinski suggested making ticket purchase amount $50.00 vs $100.00 to increase amount of tickets sold. An $11,000.00 profit was made on the car ticket sales. The Oktoberfest goal for 2006 is a profit of $75,000 – 80,000.00. Scott reported that the Oktoberfest committee is looking at expanding the festival time for 2006. Start Oktoberfest on Friday night 6pm to Midnight, Saturday 5pm to Midnight and Sunday 12 pm to 6pm. Committee still making plans for 2006. Joe Meiman made a motion to expand Oktoberfest to 3 days.   4. Finance Council update
    reported by Rick Hoban. Fiscal year collections off 4.62% versus 04. October collections are up $1,000.00 versus 04. St. Paul parents contributions are up 27%. There was one large donation of $5,000.00. Contributions were up 6% without large donation. Expenses are down $9,600.00 versus 04. Follow up items: May cut $5,000.00 to St. Henry out of St. Timothy budget. There will be an increase in utility costs due to the increase cost of @ 27% for electricity this winter. There is an amount of $5,130.00 in specific donations. $2,000.00 designated for new entrance signs. Greg Egbers is researching the remaining donations for specificity.
    · Railings and Signs - Recommend railings from Steward Ironworks. Cost is $6,398.00 including material and installation. Bids ranged from $6,198.00 to $9,495.00 with lower bid not including installation. Marquee sign on hold due to high cost ranging @$30,000.00. Marin Smith motioned that the 2 smaller entrance signs be purchased at this time but not the marquee sign. Mark Dornhoff seconded. Motion approved.
    · Land Purchase/Other – No payments made to date on the land. Researching DPAA overage. We will hopefully receive money by late spring to early summer 06. Payment is $30,000.00 per year times five years.
    · Approved purchase of furniture for the rectory.
    · Greg Egbers to come up with basic budget for 06 by January, 2006. He is new business manager for St. Timothy with Jerry Glen doing special projects only at home. For detailed information regarding the Finance Council please contact Greg Egbers.
  5. Worship Committee:
    Larry Lense reported that ministers for mass are not getting substitutes when they are unable to be at mass. He stated that 15-20 people do not show up each week for their ministry. There is required education needed. If a person does not attend education they will not be able to participate in that ministry. Eucharistic ministers, lectors, servers and mass assistants are included in this ministry. Mary Brzinski stated that there was a mistake on the sticker on top of the Quarterly schedule with some of the ministry assignments missing. This may have been a reason for people missing their assignments at mass. Is there a reason why the lector and Eucharistic minister could not be the same person at one mass? Rick Hoban suggested permanent members who are ministers for a particular mass and have other people fill in as needed. Larry to take suggestions back to Worship committee. Christmas masses to remain at 4, 6 and 10 pm on Christmas Eve. Christmas Day masses at 9 and 11pm. This needs to remain the same for the previously scheduled instrumentalists and cantors. New Breaking Bread hymnals are in. They will be changed out on November 21, 2005. Hopefully the Stewardship fair will help with attracting new members.
  6. Outreach Ministry:
    Mary Brzinski reported that the email list for this ministry is 87 email recipients with a good number of the recipients getting involved with different outreaches throughout the year. We are averaging a truck load of furniture to St. Augustine Parish center City Heights each week. Alternative Christmas update - $4,630 was collected in 2005. We are hoping to exceed collections from 2004. Parishioners can still shop for Alternative Christmas until 12/21/05. Upcoming events are the Thanksgiving collection. December 10th is the Foster parents Christmas party. December 3,4,10 and 11 for Christmas collection gift tags for assisting 35 families from Gallatin County will be distributed after masses. December 17 and 18 will be collections for gifts. December 20th will be the day that the gifts will be distributed. Grants and Tithes coming up: December – Retired Religious, January – Opportunities for Life, February – Recipient to be determined. 2006 Grants finalized the week of 11/14/05.   7. Community Ministry:
    Michelle Svec reported on this ministry. Dinner Dance is scheduled for February 25, 2006 at the Airport Marriott. Donation letters have been sent out. The committee is asking different groups in the parish to donate wine and gift certificates and any other items for silent auction. The cost of a ticket for the Dinner Dance is $50.00 per person. December 10th is Saint Nicholas at night. The committee is planning a parish Ski Day during Christmas school break. Fish Fry planned to start the first Friday of Lent. Parish Council members to bring a donation of a bottle of wine or gift certificate for the Dinner Dance to the January Parish Council meeting.
  8. Formation Committee:
    Marin Smith reported on the committee. Nursery – Julie Reynolds coordinates the schedule and sends out reminders. Parent helpers needed. SPS – Deb Thomas put on the payroll. PSR 1-6: Going well. Fun in Faith is still a hit. Sixth grade play will be presented for the whole parish at the Advent Event on December 4th. PSR 7-8 and High School: Charlotte Boemker is in charge of this. A long range plan is being developed. Children’s Liturgy of the Word: Tracey Fountain is coordinator. Adult: Spiritual Masters well received by @ 15 attendees. Month of Sundays is being led by Father Bolte on Friday mornings. Greatest needs include: 1) Publicity for adult events, 2) Volunteers for youth programs – both teen and PSR, 3) Help keeping facilities in ready shape for events to take place with less labor intensity involved in the set-up.
  9. Parish Council Composition:>
    Father Bolte reported that there will be some overlap in Parish Council members over the next 3 years while the Discernment process for becoming a Council member is performed. Kim Wiehoff, Michelle Svec, Sarah Hoeben, Jerry Grefer, Larry Lense and Rick Hoban will continue on through the 2006-2007 year. Mary Brzinski, Mark Dornhoff, Marin Smith will continue through the 2007-2008 year. A Discernment meeting will be done in May, 2006. New members will start in June, 2006. Father Bolte would like to have a total of 9 Parish Council members by 2008. Outgoing Parish Council members will continue through May 2006. St. Paul Parents: Father Bolte will look at parent response and contact families individually for update in January, 2006. Liaisons for Pillars: Parish Council members assigned to the Pillars will continue on the council. Mass times: Tabled to January meeting.
  10. Pastor Report:
    Father Bolte reported that there is a wish list for items people are interested in for the next year. Father would like to form some Focus group meetings to decide what is of most interest within the parish community. A Capital campaign would then take place. Some items of interest include a gym/multipurpose center and soccer fields. Plan for a December 17, 2005 Christmas party after the 5:30 pm mass in process.
  11. Next Parish Council meeting is scheduled for January 17, 2006 at 7:15 pm. Sarah Hoeben offered to do Prayers for that meeting. Marin Smith offered closing prayer.
